About The Position

Some roles keep a calendar running. This one keeps a company moving. Our client is building some of the most ambitious technology in AI, with teams in the U.S. and Europe. Their VP of Policy works where research, regulation, investors, and the board meet, and they need a true partner beside them. This isn't a traditional assistant role. It's a high-trust seat for someone who sees around corners, takes on hard problems without being asked, and finds satisfaction in making a leader and an organization work better. You'll have a front-row seat to company-building at a defining moment for AI, and your influence will reach well beyond one calendar.

Requirements

  • 8+ years in executive support, executive operations, or a similar role, including direct partnership with a founder, CTO, VP, or C-level leader.
  • Experience in high-growth startups or similarly fast-paced environments.
  • Exceptional attention to detail and follow-through.
  • Clear written and verbal communication skills, comfortable interacting with researchers, investors, and board members.
  • Proven ability to handle sensitive information with discretion and sound judgment.
  • Proactive problem-solving skills; ability to identify and resolve issues independently.
  • Comfort with ambiguity and ability to move quickly to establish lightweight processes.
  • Curiosity about AI and its applications.
  • Proficiency in using AI tools to enhance work efficiency.
  • Low-ego, high-impact mindset, prioritizing team success.

Responsibilities

  • Manage the VP's calendar, travel, and logistics across multiple time zones, including board meetings, investor conversations, and high-stakes external engagements.
  • Ensure the VP is prepared for important meetings with the right people, context, and materials.
  • Manage board meetings, conferences, offsites, and executive dinners from start to finish.
  • Track commitments and action items, coordinate across teams, and ensure priority work gets done.
  • Take on special projects with undefined paths, determine necessary actions, and execute them.
  • Continuously identify and implement improvements to the VP's workflow and the wider organization's efficiency.
