As an Executive Business Administrator supporting Microsoft Quantum, you provide high-level, strategic administrative partnership to senior leaders in a fast-paced, highly technical, and rapidly evolving environment. Requirements

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.
  • Ability to meet Microsoft, customer and/or government security screening requirements are required for this role.
  • Microsoft Cloud Background Check: This position will be required to pass the Microsoft Cloud Background Check upon hire/transfer and every two years thereafter.
  • Citizenship & Citizenship Verification: This role will require access to information that is controlled for export under export control regulations, potentially under the U.S. International Traffic in Arms Regulations (ITAR) or Export Administration Regulations (EAR), the EU Dual Use Regulation, and/or other export control regulations. As a condition of employment, the successful candidate will be required to provide either proof of their country of citizenship or proof of their U.S. permanent residency or other protected status (e.g., under 8 U.S.C. § 1324b(a)(3)) for assessment of eligibility to access the export-controlled information. To meet this legal requirement, and as a condition of employment, the successful candidate’s citizenship will be verified with a valid passport. Lawful permanent residents, refugees, and asylees may verify status using other documents, where applicable.
  • Ability to leverage AI tools to drive innovation and efficiency (e.g., rapid prototyping, research gathering, day to day task automation).
  • Ability to work in an “AI-first” environment using modern AI tools to accelerate design workflows.

Nice To Haves

  • Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.
  • 2+ years experience serving as mentor to others.
  • 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).

Responsibilities

  • Provide high-level executive support to a Technical Fellow and Corporate Vice President in Microsoft Quantum, partnering on strategic priorities, confidential initiatives, and day-to-day operations while exercising sound judgment and discretion with sensitive information.
  • Own complex, high-volume calendar management across multiple time zones, proactively resolving conflicts and prioritizing competing demands to ensure executives' time is aligned with top business priorities.
  • Lead end-to-end coordination of heavy domestic and international travel, including multi-leg itineraries, visas, ground transportation, lodging, and detailed trip briefings; anticipate disruptions and rebook in real time to keep executives on track.
  • Plan and execute leadership offsites, team morale events, and customer/partner visits, and manage expense reports, purchase orders, and vendor onboarding in compliance with Microsoft administrative and procurement policies.
  • Lead by example and serve as a role model to Business Support colleagues by maintaining a professional demeanor, demonstrating executive presence, influencing peers, and navigating challenging situations with executive maturity and composure; escalate issues proactively to ensure team effectiveness and consistency.
  • Engage actively with the broader Business Support community to enable growth and share best practices, and undertake special projects and cross-functional assignments as needed in support of the leaders and the Quantum organization.
