A key team member is retiring, creating an opportunity for an Executive Business Administrator to join the team. This role serves as a trusted partner to executive leadership, driving organizational effectiveness and upholding RiverBank's commitment to exceptional service, strong relationships, and sustainable growth. The Executive Business Administrator provides high-level administrative, governance, business development, and operational support to the leadership team, acting as a central point for Board materials, stakeholder communications, and cross-functional initiatives. Success in this role requires exceptional judgment, discretion, organization, communication skills, and a solid understanding of community banking priorities.

Requirements

  • Bachelor's degree in Business Administration, Finance, Communications, Management, or a related field preferred.
  • Equivalent combination of education and relevant executive administrative experience may be considered.
  • Minimum 5-7 years of progressive administrative support experience, including direct support of senior executives or business leadership.
  • Experience in banking, financial services, or another highly regulated industry strongly preferred.
  • Experience supporting Board, committee, governance, finance, operations, or executive office processes preferred.
  • Located on site and available during all business hours.
  • Exceptional organizational skills and the ability to manage multiple priorities, deadlines, and recurring deliverables with minimal supervision.
  • Strong written communication, editing, and document production skills, with the ability to prepare polished executive and Board-facing materials.
  • Advanced proficiency in Microsoft Office, including Word, Excel, PowerPoint, Outlook, and Teams.
  • Strong judgment, professionalism, and discretion in handling confidential and sensitive information.
  • Ability to coordinate effectively across executive leadership, directors, business lines, and external stakeholders.
  • Working knowledge of corporate administration, meeting governance, document retention, and office workflow management.
  • Banking knowledge, including familiarity with regulatory, operational, and Board reporting environments, is preferred.

Responsibilities

  • Provide high-level administrative and business support to the CEO and senior leadership team, ensuring alignment on strategic priorities, Board matters, and enterprise initiatives.
  • Manage complex logistics for internal leadership sessions, Board activities, conferences, and external stakeholder meetings.
  • Prepare, draft, edit, and route correspondence, presentations, reports, talking points, and other materials for leadership, Board, and regulator-facing communications.
  • Exercise sound judgment in triaging issues, escalating time-sensitive matters, and protecting confidential information related to executive, personnel, financial, and governance matters.
  • Coordinate Board of Directors and committee meetings, including scheduling, agenda development, Board packet creation and assembly, content creation and monitoring, distribution, and post-meeting follow-up.
  • Prepare and maintain accurate meeting minutes, excerpt certifications, action-item logs, resolutions, approvals, and governance records according to bank retention standards.
  • Support executive reporting to the Board and committees by gathering materials from various departments (finance, operations, risk, etc.) and assembling them into Board-ready formats.
  • Administer and maintain Board portals, governance files, director communications, and logistics for Board education, travel, and reimbursements.
  • Support the execution of strategic planning, executive projects, operational initiatives, and cross-functional priorities by coordinating meetings, timelines, deliverables, and follow-up.
  • Ensure executive, board, and stakeholder engagements are thoroughly prepared and professionally supported, including meeting room readiness, refreshments, hospitality, recognition, gifts, and planning for significant occasions.
  • Coordinate annual shareholder meeting communications, logistics, election support, and recording secretary duties.
  • Maintain organized records for contracts, key vendor documents, executive files, policies, and important correspondence, ensuring accessibility and version control.
  • Serve as the primary point of contact for all building-related matters, including communication with building management and vendors, coordination of facility projects and space planning, participation on the Security Team, and acting as the direct contact for employees on office-related matters.
  • Oversee office purchasing and coordinate the acquisition, distribution, and inventory of materials and supplies for all departments to ensure efficient day-to-day operations.
  • Coordinate with internal departments and external partners to facilitate information flow, document completion, approvals, and timely responses to requests.
  • Provide backup and overflow support across executive office functions as needed to maintain continuity and responsiveness.
  • Serve as a professional point of contact for executives, directors, shareholders, regulators, auditors, vendors, and business partners, representing RiverBank with discretion and professionalism.
  • Assist in maintaining orderly documentation and meeting support for audits, examinations, and special projects, consistent with safe-and-sound banking practices and internal standards.
  • Review work product for completeness, formatting, accuracy, and professionalism before final distribution.
  • Perform other duties as assigned.
