About The Position

The position functions as the executive level assistant to the Medicaid Director (Deputy Secretary for Health Care Financing). The incumbent for this position is a self-starter who is proactive and has experience with technical writing, executive level calendar management and operation based organizational skills.

Requirements

  • Qualified candidates must possess at least four years of experience performing administrative support to a senior level administrator or executive level staff
  • At least 2 years of experience with executive level calendar management

  • Experience providing high-level executive administrative support to senior leadership, including managing complex calendars, coordinating meetings, and preparing executive briefing materials.
  • Strong organizational and prioritization skills with the ability to proactively manage competing demands, resolve scheduling conflicts, and track follow-up actions.
  • Demonstrated ability to manage confidential and sensitive communications with discretion, sound judgment, and professionalism.
  • Experience overseeing correspondence workflows and constituent inquiries, including tracking assignments and ensuring timely, high-quality responses.
  • Familiarity with financial and administrative processes such as purchasing cards, expense reporting, travel coordination, and compliance with state or organizational policies.
  • Excellent written and verbal communication skills, with the ability to coordinate effectively across executive offices, program leadership, and external stakeholders.
  • Strong interpersonal skills - ability to interact effectively with internal and external stakeholders.
  • Proficiency in office software: Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Google Workspace, or equivalent tools.
  • Document management and virtual meeting tools: Adobe Acrobat, Zoom, Teams, or similar.
  • Ability to gather and analyze information for decision making purposes.
  • Identifies ways to streamline processes and improve efficiency.
