As the Executive Assistant, you will provide support to the senior executive team, working with minimal supervision and anticipating needs while managing day‑to‑day workflows and prioritizing various projects. These projects include scheduling, contract management, preparing materials for meetings, and participating in a wide range of special initiatives.

Requirements

  • 5-7 years of administrative support experience preferred.
  • Prior experience supporting executive-level leaders is preferred.
  • Associate degree preferred, but not required
  • Proficient in all MS Office applications including, Outlook, Word, Excel, and PowerPoint.
  • Considerable experience with Excel (developing and analyzing special reports for management) and PowerPoint (preparing presentations).
  • Excellent interpersonal and public relations skills.
  • Demonstrate advanced proficiency by quickly adapting to modern technology and easily acquiring new technical skills.
  • Solid analytical, creative, and problem-solving abilities.
  • Skilled in all aspects of planning and project management.
  • Able to take an idea from concept to completion.
  • Exhibits sound judgment and the ability to make reasonable decisions in the absence of direction.

Responsibilities

  • Schedules and manages the calendar for multiple executives, including day-to-day and long-term management of meetings, projects, and priorities.
  • Thinks ahead to ensure prompt execution of meetings, conference calls, travel, and other critically notable events.
  • Assists Sales and Support teams with compiling information for contract upload and execution.
  • Assists in analyzing, developing, maintaining, and managing sales and support reports.
  • Acts as the point of contact between the executives and internal/external client contacts.
  • Supports coordination of town halls, employee events, and other meetings.
  • Prepares and coordinates meeting agendas and communications where required.
  • Takes dictation and minutes and communicates all relevant details to meeting participants.
  • Helps create and coordinate PowerPoint or beautiful.ai presentations as necessary for leadership meetings, etc.
  • Partners with executives on the coordination of projects and events as necessary.
  • Balances conflicting priorities to manage workflow, ensure the completion of essential projects, and meet critical deadlines.
  • Collects and assembles information for presentations, projects, and strategic planning.
  • Handles phone, email, and other inquiries and respond appropriately.
  • Drafts and edits correspondence, articles, and reports.
  • Coordinates and manages special projects, including collaborating with staff to ensure projects meet deadlines.
  • Supports coordination of executive travel to industry-related tradeshows and client visits.
  • Collaborates with other executive assistants within the parent and operating companies on campus-wide functions and communication.
  • Fields and triages internal and external requests and inquiries on behalf of executives.
  • Uploads contracts and legal documents into document file systems/databases.
  • Promptly responds to requests with accuracy and a courteous demeanor.
  • Produces well-thought-out, professional correspondence free of grammatical and spelling errors.
  • Demonstrates an elevated level of tact, discretion, and diplomacy with all internal and external stakeholders.
  • Demonstrates an awareness of the fundamental business principles of Jackson and Coker and the industry in which the business operates.
