About The Position

Jay Bacrania., an executive coaching and consulting firm based just outside Boston, is seeking an Executive Assistant to serve as a right-hand partner to a solo executive coach. The firm focuses on supporting business leaders and their teams to overcome challenges, gain clarity, and achieve meaningful progress, ultimately aiming to grow their companies' revenue, profitability, and salable value. The role involves taking over all administrative work to allow the executive coach to focus on client sessions. The company has recently completed a deep dive into its operational processes, documenting them and identifying automation opportunities using Claude. The Executive Assistant will be responsible for rebuilding these systems with an AI-first approach, receiving hands-on training and support during the transition.

Requirements

  • Prior administrative or Executive Assistant experience (or from a project management background).
  • Ideally early to mid-career.
  • Fluency and comfort with AI, specifically Claude (including Claude code if needed) to build automations on top of existing SOPs.
  • Highly organized with no loose threads or dropped balls.
  • Strong attention to detail.
  • Proactive and takes initiative without waiting to be asked.
  • Trustworthy, as sensitive client and personal information will be handled.
  • Strong relational and communication skills - warm, approachable, and easy to work with.
  • Comfortable holding the executive accountable and persistently following up without getting frustrated.
  • Intelligence, honesty, and full ownership.
  • Creativity and problem-solving skills.
  • Curious and hungry to experiment, learn, and build, especially with AI.
  • Persistent and patient when things slip through the cracks.
  • Flexible and adaptable.
  • Ability to bring warmth and relational ease to the working relationship.
  • Ability to adapt, improve, and keep things moving forward.
  • Must be happy to work remotely as an independent contractor.
  • This is a full-time, primary role (no freelancing or second jobs).

Responsibilities

  • Manage inbox and calendar.
  • Coordinate with clients and vendors.
  • Run independent projects.
  • Handle personal administrative tasks, such as scheduling children's appointments and planning family trips.
  • Hold the executive coach accountable for completing their work tasks.
  • Rebuild and optimize existing Standard Operating Procedures (SOPs) using Claude.
  • Identify automation opportunities.
  • Be responsive during the workday when support is needed.
