About The Position

Denton Floyd Real Estate Group is hiring an Executive Assistant to be a true partner to our executive leadership. You'll own the details behind the executive's calendar, travel, meetings, communications, and key relationships, so the executive can stay focused on strategy and leadership. This is a highly visible, high-trust role. Because DF is a vertically integrated real estate platform, you'll work across every corporate function. The right person anticipates needs before being asked, handles shifting priorities with composure, and represents the executive with polish and discretion. The role reports to the Director of Administration and is onsite in Jeffersonville, IN.

Requirements

  • 5+ years of executive support or related experience, including supporting senior leadership
  • Proven ability to manage complex calendars, travel, and competing priorities independently
  • Exceptional written and verbal communication and proofreading skills
  • Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Teams
  • Strong attention to detail, follow-through, and discretion with confidential information
  • Ability to work onsite in Jeffersonville, IN, with occasional flexibility outside business hours

Nice To Haves

  • Experience in real estate, construction, development, finance, or a similarly complex organization
  • Familiarity with EOS, Ninety, or a comparable operating framework
  • Experience coordinating investor, lender, or board meetings
  • Notary commission, or willingness to obtain one

Responsibilities

  • Own a complex executive calendar: prioritize requests, resolve conflicts, and protect focus time
  • Serve as gatekeeper, deciding what needs the executive's attention, what gets delegated, and what you handle yourself
  • Prepare the executive for meetings with agendas, background, attendee context, and open action items
  • Attend leadership meetings and EOS Level 10s, capture decisions, and drive follow-through
  • Coordinate leadership, investor, and lender meetings in partnership with DF teams
  • Manage domestic and international travel end to end, including multi-city trips, conferences, property tours, and retreats
  • Act as a polished first point of contact with employees, investors, lenders, partners, and vendors
  • Draft and proofread correspondence, presentations, and executive materials
  • Process expense reports and invoices, and coordinate signature requests and document routing
  • Support special projects, research, and executive events such as offsites and dinners
  • Handle sensitive information, including personnel, compensation, financials, and strategy, with absolute discretion
