Summary: The Executive Assistant to the CEO plays a key role in supporting the day-to-day and long-term work of the Chief Executive Officer. This position is a trusted partner who helps keep priorities organized, communication flowing smoothly, and the CEO’s office running efficiently. Working closely with internal teams, the Board of Directors, and community partners, the Executive Assistant supports the organization’s mission by ensuring the CEO is well-prepared, informed, and supported in advancing our human services work.

Requirements

  • Education: Associates In related field Required
  • Years of Experience: 3 or more years of successful experience in related field or combination of education and experience
  • Certifications and Licensure: Possess a Valid Kentucky Driver's License and Maintain a Safe Driving Record Required
  • CAP Driving Certification (or ability to obtain within first 90 days) Required
  • In order to drive personal vehicle on CAP business, must obtain and maintain a policy of motor vehicle insurance coverage on privately-owned vehicle with insurance coverage amounts of $50,000 bodily injury per person per accident; $100,000 bodily injury for all bodily injuries per accident; and $50,000 property damage per accident.

Responsibilities

  • Provide comprehensive executive-level administrative support to the CEO by managing calendars, scheduling meetings, coordinating travel, and handling correspondence.
  • Coordinate, attend, and support Board of Directors, Board Committee, and Leadership Team meetings, including preparing agendas and materials, recording accurate meeting minutes, and distributing minutes in a timely manner.
  • Prepare briefing materials, presentations, and reports to ensure leadership and Board members are well-informed and prepared.
  • Maintain organized and confidential records related to executive leadership and governance, handling sensitive information with professionalism and discretion. 45%
  • Act as a friendly and professional point of contact between the CEO and staff, Board members, funders, and community partners.
  • Draft and share communications on behalf of the CEO, ensuring messages are clear, accurate, and reflect the organization’s values.
  • Help coordinate meetings and follow up on action items to keep work moving forward. 30%
  • Assist with special projects and strategic initiatives by tracking timelines, organizing materials, and supporting follow-through.
  • Support Board and governance activities, including meeting logistics and preparation of materials.
  • Look for ways to improve office processes and administrative systems to help the organization work more effectively. 25%
