About The Position

The objective of this requirement is to provide Administrative/Program Support services to assist with general office tasks, cover a range of administrative work (including calendar management and travel management), and support senior leadership in various areas within I&A’s Office of the Deputy Assistant Secretary for TCGM. Ardent Eagle Solutions is seeking an Executive Assistant to support ITA I&A TCGM. This position encompasses administrative and miscellaneous services to efficiently and effectively fulfill the I&A’s goals and objectives. Specifically, to provide experienced professional administrative services including direct administrative support to senior leadership. These services include updating trackers, gathering and organizing information for briefing materials, arranging travel for principals, performing logistical work to arrange internal and external meetings with various stakeholders. Additionally, this position will update documents and draft email communications for internal and external dissemination. Other duties as assigned may include completing foreign national visitor forms, escorting visitors, and managing tasks in ITA’s Tasking.

Requirements

  • Strong demonstrated experience with travel management, specifically for extensive and complicated travel schedules for executives.
  • Strong demonstrated experience with scheduling and calendar management, especially for extremely busy and dynamic schedules for executives.
  • Strong demonstrated experience providing office administrative support.
  • Must possess excellent verbal and written skills.
  • Strong proficiency with MS Word, PowerPoint, Excel, Outlook, and related MS 365 tools.
  • Ability to handle sensitive and confidential information appropriately.
  • Approximately 6 or more years of related and relevant experience.
  • Public Trust is required to perform these duties.

Nice To Haves

  • Federal Government support experience is strongly preferred.

Responsibilities

  • Performs sensitive and highly visible administrative functions for a single or small group of Senior Executive(s).
  • Often the first person corresponded with for the Executive.
  • Plans and produces executive correspondence, operates general office equipment, and is proficient with Office Suite applications.
  • Manages schedules and calendars.
  • Manages executive travel logistics and schedules.
  • Makes travel requests for office staff.
  • Performs a range of day-to-day office administrative duties including travel arrangements, filing, and calendar management.
  • Performs budget spreadsheet maintenance.
  • Orders office supplies.
  • Participates in annual property inventory for up to 35 individuals.
  • Escorts individuals into and out of the building.
  • Will have access to activities and information of a highly confidential nature that requires sensitivity and discretion.
  • Supports onboarding activities for new federal staff.
  • May be required to compile and consolidate weekly reports for up to 35 individuals into one report for review.
