About The Position

Allied Health Solutions Medical Group is seeking an exceptional Executive Assistant to provide high-level administrative support to a physician who owns and operates a successful medical clinic and Independent Physician Association (IPA). This is a critical position for someone who is highly organized, detail-oriented, proactive, and able to manage multiple priorities with professionalism and discretion. The Executive Assistant will work closely with the physician and other executive staff to support both daily medical practice operations and strategic business initiatives, including the development of new healthcare programs and organizational systems. This is an excellent opportunity to work alongside a physician leader and senior executives in a medical practice setting and play an integral role in the continued growth of a healthcare organization.

Requirements

  • Previous experience as an Executive Assistant, Administrative Assistant, Healthcare Administrator, or similar role
  • Experience working in a medical office, healthcare organization, physician practice, or hospital strongly preferred
  • Exceptional organizational skills with outstanding attention to detail
  • Ability to prioritize multiple responsibilities in a fast-paced environment
  • Excellent written and verbal communication skills
  • Professional, dependable, and able to maintain strict confidentiality
  • Self-motivated with strong problem-solving abilities
  • Comfortable working independently with minimal supervision
  • Proficient in: Microsoft Word, Microsoft Excel, Microsoft Outlook, Microsoft Teams, Adobe Acrobat, Google Workspace, Digital filing and organization platforms

Nice To Haves

  • Experience with electronic medical records (EMR/EHR) systems is a plus
  • Valid driver's license and reliable transportation for occasional business errands preferred

Responsibilities

  • Prepare professional correspondence, reports, presentations, and meeting materials
  • Organize and maintain confidential medical, business, personal and administrative records
  • Coordinate projects and ensure timely follow-up on assignments
  • Answer and direct phone calls, emails, and other communications professionally
  • Maintain organized electronic and paper filing systems
  • Assist with data entry, document preparation, and record management
  • Manage the physician's calendar, meetings, appointments, and scheduling
  • Assist with medical administrative operations
  • Coordinate with clinic staff, vendors, and healthcare partners
  • Help improve office workflows and administrative processes
  • Maintain compliance with confidentiality and HIPAA requirements
  • Support physician leadership in daily clinic operations
  • Assist in developing new healthcare programs and operational initiatives using AI technology
  • Research healthcare-related topics and prepare summaries
  • Track deadlines and project milestones
  • Help organize meetings, agendas, and follow-up action items
  • Create efficient systems to improve organization and productivity
  • Organize personal and household records
  • Manage important documents, files, and digital records
  • Coordinate appointments, reminders, and schedules
  • Assist with administrative errands and special projects as needed
