About The Position

Lightfield is seeking an exceptional Executive Assistant to support three members of its leadership team and ensure the smooth operation of the 45-person company. This role offers broad range and responsibility, involving the management of executive calendars and priorities, coordination of recruiting efforts, planning of events and offsites, maintenance of office operations, and resolution of operational issues. The ideal candidate will become a trusted partner to the leaders they support, gaining significant trust, autonomy, and visibility across the company, with the opportunity to influence operational strategies as Lightfield grows.

Requirements

  • 4+ years of experience supporting VP- or C-level leaders, preferably in a fast-growing company with significant autonomy and broad responsibility.
  • Exceptional organizational and reliability skills; a proven track record of task completion.
  • Resourceful and self-directed, capable of exercising judgment without detailed instructions.
  • Low ego and high ownership mentality, willing to handle both high-stakes executive work and practical operational details.
  • Strong written communication skills, adaptable to various audiences and stakes.
  • Strong interpersonal judgment, with the ability to communicate warmly, perceptively, and professionally.
  • Actively uses AI and automation to enhance work efficiency.
  • Proficiency in modern workplace tools including Google Workspace, Slack, Notion, DocuSign, and calendaring tools.

Responsibilities

  • Manage complex executive calendars, priorities, travel, and logistics, anticipating scheduling conflicts and protecting important time.
  • Take ownership of ambiguous problems from start to finish, finding necessary context and making sound decisions.
  • Coordinate interview loops for candidates, interviewers, recruiters, and hiring managers to ensure an exceptional candidate experience.
  • Plan and execute company offsites, team dinners, trade shows, conferences, and community events, managing venues, vendors, travel, and budgets.
  • Oversee office operations including meals, supplies, deliveries, and vendor management.
  • Handle administrative tasks such as travel, expenses, contracts, signatures, and vendor onboarding with speed and precision.
  • Improve operational efficiency by building systems, automating repetitive tasks, introducing new tools, and creating scalable processes.
