About The Position

Autoland is a growing automotive technology company seeking a highly organized, proactive, and resourceful Executive Assistant to support our President/CEO. This role is far more than traditional administrative support—it is an opportunity to become a trusted partner to the executive office and play a meaningful role in helping the company execute on key priorities and strategic initiatives. Requirements

  • 3–8 years of experience in executive support, office management, operations, project coordination, or a related role.
  • Exceptional organizational skills and attention to detail.
  • Strong written and verbal communication abilities.
  • Experience managing multiple priorities in a fast-paced environment.
  • Proven ability to maintain confidentiality and use sound judgment.
  • Comfortable driving follow-through and accountability across teams and stakeholders.
  • Proficiency with Microsoft 365, Google Workspace, and modern collaboration tools.

Nice To Haves

  • Experience supporting a CEO, President, Founder, or other senior executive.
  • Background in a startup, high-growth, technology, automotive, or entrepreneurial environment.
  • Experience coordinating leadership meetings, company offsites, board meetings, parent-company meetings, or company-wide communications.
  • Demonstrated success taking on increasing responsibility in a growing organization.
  • Familiarity with platforms such as Slack, Microsoft Teams, Asana, Monday.com, Airtable, or similar tools.

Responsibilities

  • Manage the President/CEO's calendar, meeting schedules, travel arrangements, expenses, and daily priorities.
  • Prepare meeting agendas, presentations, briefing materials, executive correspondence, and follow-up communications.
  • Draft internal updates, announcements, and other communications on behalf of the CEO.
  • Ensure the CEO is well-prepared for meetings with employees, customers, partners, vendors, and parent company stakeholders.
  • Track key decisions, priorities, commitments, deadlines, and action items across the organization.
  • Maintain visibility into critical projects and identify items that are delayed, blocked, or at risk.
  • Follow up with stakeholders to ensure commitments are completed on time.
  • Escalate risks, missed deadlines, unclear ownership, or stalled initiatives when appropriate.
  • Help translate conversations into action and keep important business priorities moving forward.
  • Coordinate leadership meetings, company meetings, offsites, special events, and other executive activities.
  • Support cross-functional projects and company initiatives as needed.
  • Manage travel logistics, itineraries, vendor relationships, and meeting coordination.
  • Assist with office operations, facilities coordination, supplies management, and employee events.
  • Anticipate needs, solve problems, and help protect the CEO's time and focus.
  • Handle highly confidential and sensitive information with discretion and professionalism.
  • Exercise sound judgment when managing competing priorities, executive communications, and sensitive matters.
  • Serve as a reliable, trusted resource who helps drive organizational effectiveness.
