The Executive Assistant provides high level administrative support to the President & CEO and other agency Executives, as needed. Job-specific essential functions include the following: TEAM FIRST: Makes every effort to maintain a 'team first' spirit and atmosphere within the workplace environment, maintaining appropriate working relationships and promoting collaboration. Screens and directs incoming calls, visitors, email, mail, etc. Receives incoming communication or memos on behalf of President & CEO, reviews content, determines importance, and summarizes and/or distributes contents to appropriate staff. Performs various clerical tasks utilizing knowledge of office systems and procedures. Prepares and distributes meeting minutes for Executive Leadership Team, including but not limited to weekly meetings, quarterly off-site meetings, ad hoc meetings, etc. Prepares and distributes meeting minutes for Board of Trustees meetings and conference calls. Performs administrative/clerical tasks for Board of Trustees, as needed. Assists in all processes regarding County Contracts, maintenance of files, etc. Maintains insurance records for commercial insurance (property, liability, auto, etc.), assists with the processing of commercial insurance renewals and claims. Prepares memorandums and general correspondence, as needed. Updates and maintains agency organizational chart(s). Prepares and sends out monthly employee birthday cards. Assists in scheduling travel. Other duties may be assigned.
