About The Position

GESI is seeking an elite Executive Assistant to support the Environmental Services division in Vaughan, Ontario. This role will provide expert-level support to the executive leading the division, as well as key senior leaders, aiming to enhance the office of the executive and the division’s performance. The ideal candidate will possess strong organizational, communication, and prioritization skills, with a proven ability to manage an executive's office, plan meetings, anticipate needs, and handle multiple priorities with urgency, empathy, and excellence. The role requires resourcefulness, a drive for top results, and a people-first approach. Given the leadership team's demanding travel schedule, expert-level travel planning skills are essential. The candidate must also demonstrate a high degree of emotional intelligence and discretion, acting as a proactive facilitator of business performance.

Requirements

  • 2-5 years of progressive experience managing an executive office supporting a large organization is preferred.
  • Post-secondary education in administrative support, office administration, or a related field is preferred.
  • Google Workspace (Docs, Sheets, Slides, Gmail)
  • Ability to maintain confidentiality and be self-disciplined.
  • Ability to thrive in a fast-paced environment while managing multiple priorities.
  • Ability to achieve high performance goals and meet deadlines in a fast-paced environment.
  • Excellent communication skills between team members, vendors, management, and customers.
  • Strong organizational skills and ability to prioritize multiple tasks seamlessly with excellent attention to detail.
  • Must possess a valid G License and have everyday access to a reliable vehicle.
  • Valid work authorization in the country where the job is located is required.

Responsibilities

  • Optimize the executive’s calendar to maximize efficiency
  • Personalize the executive’s schedule to their preferences, understand internal / external obligations, prioritize requests for time and facilitate urgent demands or issues
  • Make meetings effective and project manage deliverables
  • Manage logistics, prepare participants, and create relevant materials (i.e.: financial reports, status reports, presentations)
  • Create action item reports, support key business initiatives and follow-up on delivery
  • Maintain proficiency with software applications and department systems as required
  • Provide event management support as requested
  • Triage incoming and coordinating outgoing correspondence
  • Build institutional knowledge to clearly communicate with the team
  • Compose and prepare correspondence, maintain contact lists, make travel arrangements, and complete expense reports
  • Coordinate announcement, recognition and celebration projects and associated logistics in collaboration with key stakeholders
  • Perform a broad variety of administrative and project management tasks which facilitate the executive and leadership team’s ability to effectively lead the organization
