About The Position

The Executive Assistant will provide proactive executive support that enables the Team Leader to focus on strategic leadership and stakeholder engagement. This role involves coordinating the Team Leader's workflow, priorities, and commitments across the program, and improving communication and coordination between the Team Leader, Senior Management Team (SMT), DFAT, and external stakeholders. The Executive Assistant will also support governance processes and executive decision-making through effective meeting management, documentation, and follow-up, while ensuring the efficient administration of the Team Leader's Office and maintaining professional relationships with internal and external stakeholders. The Executive Assistant will report directly to the Team Leader as part of the key strategic approach to whole-of-program strategy, planning, coordination, and adaptive delivery. The Executive Assistant will also work closely with the Senior Management Team, DT Global Corporate Team, and other cross-cutting and enabling functions at APLJ.

Requirements

  • Five to eight years’ experience supporting senior executives or corporate leaders
  • Excellent organisational and time management skills.
  • Exceptional written and verbal communication skills.
  • Demonstrated experience preparing executive correspondence, reports and briefing materials.
  • Strong stakeholder management skills.
  • Excellent judgement and ability to manage confidential information.
  • High level proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook and Teams).
  • Ability to manage multiple priorities in a fast-paced environment.
  • Demonstrated initiative and problem-solving ability.

Nice To Haves

  • Experience supporting DFAT-funded or donor-funded development programs.
  • Knowledge of Papua New Guinea government systems.
  • Experience working within law and justice, governance or international development programs.
  • Experience supporting senior executives responsible for complex multi-million-dollar programs.
