The Executive Assistant works under the direction of the Sr. Executive Assistant and supports the Executive Secretary Treasurer (EST) by managing and handling administrative tasks of the Executive Office, ensuring smooth business operations to support the Funds. • Provides administrative support for the Executive Secretary Treasurer (EST) in a variety of tasks under the direction of the Sr. Executive Assistant to ensure smooth day-to-day engagements • Answer, assist and triage incoming phone calls and emails through a shared email box • Complete a broad variety of administrative tasks that facilitates the EST’s ability to effectively lead the organization, including: assisting with special projects; designing and producing PowerPoint presentations; composing and preparing correspondence and making travel arrangements. • Arrange and handle all logistics of meetings and events: to include but not limited scheduling meetings; compile meeting and presentation materials and coordinating & assisting with catering set up & clean up • Provide event/meeting support and hospitality to all guests • Invest in building long-lasting relationships both externally and internally • Handle notifications to trustees, leadership, locals, chapters and employers where appropriate • Periodically, provide safe and timely transport of external and internal guests traveling to and from various area airports and terminals • Learning all essential functions of the Sr. Executive Assistant and backup • Other general administrative duties as assigned
