Requirements

  • High school diploma or equivalent required.
  • 3-5 years’ experience in an office environment as an administrative assistant is required.
  • Proficiency with Microsoft Office – Excel / Power Point / Word.
  • Must handle confidential information with discretion and professionalism.
  • Ability to effectively communicate both verbally and in writing, including proofreading and spelling.
  • Ability to prioritize and coordinate multiple assignments, proactively addressing issues before they arise.
  • Ability to interact professionally with patients, referral sources, and the public.
  • Must be able to function with minimal supervision.

Nice To Haves

  • Degree in Secretarial Science, Accounting or Paralegal preferred.
  • Experience at the corporate level preferred.
  • Notary Public a plus.
  • If in recovery, 1 year of continuous sobriety is preferred.
  • Ability to acquire knowledge of Caron Programs.
  • Ability to acquire knowledge of all aspects of licensing / accreditation procedures.

Responsibilities

  • Provide high-level administrative support and perform tasks such as drafting letters, memos, invoices, reports, and other documents for senior staff.
  • Manage and maintain calendars and schedules, including coordination of meetings, appointments, and travel itineraries, and coordination of schedules with internal and external constituents.
  • Schedule individual patient meetings with an executive leader in the patient electronic record.
  • Coordinate travel for conferences and speaking venues.
  • Serve as a delegate for actions within the HR Information System (HRIS), which may include time off requests, approval of timesheets, and performance management.
  • Plan and organize events such as trainings, executive and senior leadership meetings, and board meetings.
  • Prepare Board and Committee packets, including coordination and collation of information from multiple stakeholders within and outside of the organization.
  • Transcribe and prepare minutes/reports for meetings as designated and distribute to meeting attendees.
  • Compile monthly and/or quarterly reports by gathering data from designated resources and programs to assist in the budgeting process.
  • Manage expense reports, reconciliation of credit card statements, invoices, and other financial documentation for the executive team.
  • Order office supplies.
  • Maintain policies and procedures, organize and systematize reports needed for inter-departmental communication.
  • Maintain files, including litigation and legal documents.
  • Complete special projects as assigned.
