About The Position

We are looking for an exceptional Executive Assistant to provide high-level support to the Founder across our diverse portfolio of businesses. This is a fast-paced role for someone who thrives on organization, anticipates needs before they arise and enjoys being at the centre of operations. The ideal candidate is resourceful, detail-oriented, and capable of managing multiple priorities while maintaining the highest level of professionalism and confidentiality. You will work closely with the Founder to coordinate day-to-day operations, oversee projects, and ensure seamless execution across all businesses.

Requirements

  • Strong Executive Administrative Assistance and Administrative Assistance skills, including calendar and task management.
  • Experience with Executive Support, such as coordinating schedules, meetings, and travel for leadership.
  • Ability to prepare and reconcile Expense Reports accurately and in a timely manner.
  • Excellent Communication skills, both written and verbal, for internal and external interactions.
  • Strong organizational skills, attention to detail, and the ability to prioritize multiple tasks.
  • Proficiency with office productivity tools (e.g., Google Workspace or Microsoft Office) and comfort with digital collaboration tools.
  • Ability to work independently, maintain discretion, and demonstrate sound judgment in a fast-paced, creative environment.
  • Bachelor's degree.
  • 3–5 years of experience supporting senior executives, founders, or C-suite leadership.
  • Exceptional organizational and time management skills.
  • Strong attention to detail.
  • Ability to multitask and prioritize effectively.
  • High level of professionalism and discretion.
  • Proficiency in Microsoft Office Suite and Google Workspace.

Nice To Haves

  • Previous experience supporting executives or teams in fashion, retail, or a creative industry is a plus.
  • Experience using project management tools is an advantage.

Responsibilities

  • Manage the Founder's calendar, schedule meetings, coordinate appointments, and ensure priorities are effectively managed.
  • Monitor correspondence, draft professional emails, manage follow-ups, and act as a liaison between the Founder and internal or external stakeholders.
  • Track ongoing projects across all businesses, monitor deadlines, follow up with teams, and ensure timely execution of deliverables.
  • Assist in developing, documenting, and maintaining operational systems, SOPs, and internal processes across the businesses.
  • Prepare meeting agendas, record action points, and ensure follow-up on outstanding tasks.
  • Organize files, maintain documentation, prepare reports, presentations, and business correspondence.
  • Coordinate travel arrangements, accommodation, itineraries, reservations, and event logistics when required.
  • Work closely with teams and managers across all brands to ensure communication flows efficiently and priorities remain aligned.
  • Conduct research, gather information, prepare summaries, and support strategic decision-making.
  • Handle sensitive business and personal information with the highest level of discretion and professionalism.
  • Anticipate challenges, identify solutions proactively, and ensure issues are resolved before they impact business operations.
