About The Position

We are looking for someone tasked with assisting Head of Creative with the day-to-day operation of the department, via a full-range of executive administrative support. Our ideal candidate will be able to anticipate the needs of a busy executive and take the action to tackle problems thoughtfully and autonomously. They will partner daily with the support staff of our C-Suite Senior Executives. This position is ideal for a motivated person who is forward-thinking and able to prioritize optimally for the Senior Executive.

Requirements

  • 5+ years of experience as an Executive Assistant or related field
  • Knowledge of Microsoft Outlook, minor basic knowledge of Adobe Illustrator, Keynote, Photoshop
  • Knowledge of Zoom and Teams
  • Enthusiastic about the art and science behind being an impactful and value-adding Executive Assistant
  • Employ exemplary judgment, discretion, and overall decision-making skills during interactions with Senior Executives, Industry Leaders, and other high-profile partners
  • Enthusiastic and keen to tackle new projects and ideas while maintaining focus on key priorities
  • Able to function as a central knowledge resource for the team to help facilitate streamlined communications and drive toward team results
  • Applies robust writing, editing, and proofreading skills for emails, presentations, and other correspondence
  • Proficient organizational skills and attention to detail

Responsibilities

  • Be highly responsive to direct and anticipated needs; provide fast, precise, and mindful responses to requests, and follow up on action items in support of the executive’s efficiency and effectiveness.
  • Coordinate heavy travel itineraries including flight reservations, hotel, and car service quickly and precisely. Inform and plan actions based on the itinerary with appropriate parties, monitoring throughout. Process associated expenses as required.
  • Complete scheduling and calendar management as needed with a heavy focus on coordination of complex meetings with multiple participants and locations.
  • Provide effective and expeditious meeting coordination including agendas, notes, action items and follow-ups.
  • Run meeting presentations, conference room, and AV equipment logistics.
  • Maintain department distribution lists and send department-wide communications.
  • Screen and respond to phone calls, emails, and incoming/outgoing packages.
  • Partner with key stakeholders to Consumer Products & Experiences leadership and their EAs to collaborate, acquire information, problem solve, and achieve desired results.
  • Manage special projects, run occasional personal errands, and take on additional duties and projects as needed.
  • Prioritize tasks as needed and organize daily. Always monitor emails during working hours and before and after them.
  • Manage confidential information and documents from the department
