About The Position

Provide administrative support to Managing Director(s) and members of their team within the Investment & Corporate Banking division of Banking Americas. This role supports a premier investment and corporate bank dedicated to delivering innovative capital markets and advisory solutions to corporations, institutional investors, and private equity clients.

Requirements

  • Minimum of 5 years of experience within financial services is a plus.
  • Familiarity with Concur and prior experience managing travel and expenses.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Exceptional interpersonal and written/verbal communication skills.
  • Positive, consistent professional attitude; ability to work well under pressure.
  • Ability to multitask, prioritize, and respond timely in a dynamic environment.
  • Attentive to details and extremely organized.
  • Ability to adapt well to change, possess a keen sense of urgency, and practice conflict resolution.
  • Eager to assist with duties and take initiative on last-minute notice.
  • Team-player with a willingness to assist others and collaborate with bankers, IT, HR, etc.

Responsibilities

  • Manage complex calendars via Outlook and confirm internal and external meetings.
  • Schedule meetings and coordinate details such as catering, guest registration, conference rooms, and video connectivity.
  • Coordinate domestic and international travel arrangements including flights, hotels, and ground transportation.
  • Process, submit, and maintain business expenses, following strict adherence to policies and following up on receipts and reimbursement status.
  • Function as a gatekeeper by answering phone lines, screening calls, and delivering detailed messages.
  • Assist with communications amongst management and the banking division.
  • Administer client data in salesforce database (OneBanker and BoardEx).
  • Participate in business unit projects as assigned by management.
  • Partner, collaborate, and coordinate with the administrative team, providing backup as needed.
  • Oversee general office needs such as ordering supplies and mail distribution.
  • Revise, print, and bind PowerPoint presentations.
  • Serve as a liaison between the IT department and the business unit for onboarding new hires and troubleshooting purposes.
