About The Position

The Executive Assistant provides administrative assistance to the President and Executive Director-Treasurer. This role also offers assistance to the Chair and Chair-Elect of the TBMB Board of Directors and other committees. The position requires carrying out assigned ministry with a "Christ-Like Servant Spirit," guided by the TBMB mission, vision, values, strategies, and goals. The Executive Assistant must exercise discipline to complete tasks and work independently with minimal supervision, while also providing leadership, support, and assistance to the Executive Leadership Group and other organizational groups, fostering positive working relationships. The role involves managing and prioritizing complex job assignments with flexibility and a positive attitude towards changing requirements. Effective internal and external communication, both verbal and written, is crucial, as is maintaining a high level of confidentiality. Familiarity with the organization's policies and procedures is also necessary.

Requirements

  • Maintain a high level of confidentiality and trust.
  • Demonstrate familiarity and be able to communicate policies and procedures of the organization.
  • Able to sit at desk for an extended period of each day, answer telephone handset, utilize computer keyboard and mouse.
  • Able to verbally communicate with individuals, small groups, and large gatherings.
  • Above average knowledge and experience with Microsoft Word, Excel, PowerPoint, and Outlook.
  • Excellent oral and written communication skills.
  • Strong organizational and time management skills with ability to multi-task and prioritize work.
  • Positive and helpful attitude.

Nice To Haves

  • Four-year college degree in business or communication.
  • In-depth knowledge of TBMB’s procedures, processes, and practices.
  • Five years plus related office experience.
  • Knowledge of Baptist Polity.

Responsibilities

  • Maintain and manage the Executive Director’s calendar, ensuring preparedness for all meetings and appointments.
  • Schedule, coordinate logistics, and make travel arrangements.
  • Participate in meetings, take notes, and transcribe dictation.
  • Prepare expense reports for the Executive Director.
  • Receive and return phone calls, process written communication, and act as a liaison for the Executive Director.
  • Respond to internal and external inquiries, interpreting or gathering information.
  • Coordinate research, preparation of reports, presentations, and other special projects.
  • Provide assistance to officers for the Board of Directors and Convention, maintaining them informed of meetings and securing reports.
  • Serve as primary support to the Board of Directors and Administrative and Nominating Committees for meeting coordination and logistics.
  • Serve as alternate minutes-taker for meetings of the Board of Directors and Administrative Committee.
  • Provide input in budget development, enter budget information, and monitor the Executive Leadership Group budget.
  • Review and approve employee expense reports and other payment requests on behalf of the Executive Director.
  • Coordinate the purchase of group materials and resources.
  • Perform other duties as needed or assigned.
