About The Position

We are seeking an Executive & Project Assistant to support President/CEO Larry Platt and Executive Director/Editorial Director Roxanne Patel Shepelavy in both daily administrative functions and organizational projects. This is a dynamic role for someone who thrives on organization, communication, and problem-solving. You will serve as a gatekeeper, project coordinator, and strategic partner , helping manage the executives’ time, energy, and resources effectively.

Requirements

  • 2–3 years of experience in a similar role.
  • Strong organizational skills and proactive approach; ability to work independently and anticipate needs.
  • Excellent interpersonal, verbal, and written communication skills.
  • Proficiency in Outlook, Microsoft 365, Google Workspace, and ability to learn new tools quickly.
  • Familiarity with social media platforms (Instagram, LinkedIn, etc.).
  • High level of confidentiality and professionalism.
  • Must live in the Philadelphia area; hybrid/in-person work required.

Responsibilities

  • Manage executive calendars, appointments, and meeting coordination.
  • Screen and respond to emails and calls; act as liaison between executives and internal/external partners, including the Board.
  • Provide daily itineraries and ensure executives are prepared with background materials and advance work.
  • Arrange travel, prepare itineraries, and assist with expense reporting.
  • Handle confidential information with discretion; assist with drafting, editing, and organizing documents as needed.
  • Oversee general office processes (conference room booking, mail collection, storage organization).
  • Manage executive-related social media presence (Instagram, LinkedIn, and other platforms as needed).
  • Support organizational projects and initiatives; contribute to editorial products as desired.
