About The Position

The Executive Assistant provides high-level confidential administrative support to the members of the Executive Leadership Team in a fast-paced, continually changing environment. Duties may be administrative and project-based and include arranging meetings, handling information requests, preparing reports, correspondence, preparing agendas, minutes, presentation for team and committee meetings. Liaison between Executives and managers and directors. This position is privy to confidential information and as such requires diplomacy and discretion. This role is hybrid and involves travel to various sites, sometimes before and after traditional business hours.

Requirements

  • High School Diploma
  • A minimum of three to five years of executive level assistance or Operations Assistant experience
  • Proficient in Microsoft Office applications, including Word, advanced Excel (pivot tables, formulas, and functions), Outlook, Access, PowerPoint, Teams, and Adobe Pro.
  • Strong written and verbal communication skills, with demonstrated accuracy in grammar, spelling, and document editing.
  • Solid analytical and mathematical skills, including calculations, reconciliations, percentages, ratios, and interpretation of data and graphs.
  • Demonstrated ability to interpret and follow written, verbal, and visual instructions while solving practical problems in complex or varied situations.
  • Highly organized with the ability to plan, prioritize, and coordinate schedules effectively.
  • Capable of working independently, exercising sound judgment and discretion.
  • Proven ability to communicate and collaborate effectively with employees and leaders at all levels of the organization.

Responsibilities

  • Provides high-level administrative support to the Chief Administrative & Value Officer, Chief Financial Officer, and Chief Medical Informatics Officer.
  • Anticipates executive needs by preparing records, reports, dashboards, and correspondence; monitors progress of Value-Based Care and Finance initiatives.
  • Manages executive calendars, schedules, and telephone communications, prioritizing inquiries and directing requests as appropriate.
  • Coordinates executive, physician, and committee meetings, including scheduling, room and IT setup, agenda and presentation preparation, meeting documentation, and action-item follow-up.
  • Handles confidential and sensitive matters related to departmental policies, procedures, risk management, and patient information with strict discretion.
  • Arranges travel, offsite meetings, conference registrations, expense reimbursements, and meeting meals as needed.
  • Attends meetings and conferences (including outside regular business hours when required) and provides summaries of key decisions and next steps.
  • Maintains awareness of applicable legal, regulatory, and government reporting requirements affecting administration.
  • Manages departmental correspondence, mail, and document filing, including items requiring leadership or administrative approval.
  • Supports organizational operations as needed, including assisting the Executive Coordinator with meetings or retreats and providing coverage at the Welcome Desk.
