Illuminate has a deep network of senior financial services executives as both advisers and investors. Our global team of twenty-two invests in early-stage enterprise start-ups and we have a fantastic opportunity for a Senior Executive Assistant to support our US-based Managing Partner and Founder (Founder). This is a full-time EA opportunity in our New York office looking after our Founder who works between New York and Florida. This is a business and personal EA role helping organise and run many different aspects of his life (70/30 split). The New York office in FIDI comprises 2 Partners (1 being the Founder), 3 Investors, 1 Head of Investor Relations and one Executive Assistant. We are seeking an individual who can juggle multiple deliverables, thrives in a fast-paced environment but is also highly empathetic. Quick thinking and initiative is paramount and it’s important you seek to act, think and behave as a business partner. The right candidate will be surrounded by a team of sharp, enthusiastic and collaborative investors.

Requirements

  • Excellent IT skills with a thorough knowledge of MS Office packages, especially Outlook.
  • Comfortable using AI tools to increase efficiency and add value across the role.
  • Approachable, efficient, well-organised, with an exceptional eye for detail and a willingness to use initiative.
  • The confidence and conviction to guide and challenge our Founder gently but firmly in their decision-making processes.
  • Good verbal and written English communication skills with the ability to communicate confidently with a wide range of individuals and organisations.
  • Must support a team ethos.
  • Possesses the independence to work with a small team or alone but with growth and bigger picture thinking in mind.
  • Solutions oriented - can solve problems without corporate departments to turn to and is resourceful in nature.
  • Ability to simplify and own challenges with ease taking the burden away from the Founder.
  • A calm, composed presence under pressure, with the emotional intelligence to provide reassurance and a reliable sounding board when needed.
  • A needs must mentality where no task is too small or trivial in order to push the business forwards.

  • Experience working as part of a global team, across different time-zones, is an advantage.

Responsibilities

  • Proactive and complex extensive diary management - daily management of scheduling and rescheduling appointments, exercising a flexible approach to changing schedules, efficiently and confidently making decisions on multiple ever-changing priorities and ensuring focus on the correct business agenda.
  • Coordinating high priority fundraising meetings, working closely with our Head of Relations and NY Partner.
  • Supporting our Founder with his annual diary and supporting his strategic thinking to help pre-empt obstacles and prepare solutions.
  • Working with our Finance team to help schedule annual obligations to our Investors.
  • Completion and submission of expense claims within a timely manner.
  • Dealing with complex and ever-changing travel itineraries flights and accommodation (including identifying cost-effective and practical solutions) for our Founder.
  • Personal support for our Founder in relation to his family, logistics, personal finances and global living.
  • Working with our London team assistant to co-ordinate our Founders flat and admin related tasks on the ground in the UK.
  • Contributing and continuously growing and maintaining our culture and positive energy within the team with socials and initiatives.
  • Working closely with our NY Executive Assistant and providing holiday cover.
  • Liaising with our London CoS on ad-hoc projects and communication between offices.
  • A natural desire to deliver a hands-on approach given we are a small team.
