About The Position

The Executive Assistant provides high-level administrative and operational support to four executives, ensuring seamless day-to-day operations, effective time management, and exceptional coordination of executive priorities. This role requires a high degree of professionalism, discretion, sound judgment, organization, and the ability to manage competing priorities in a fast-paced environment.

Requirements

  • Bachelor’s degree or relevant experience.
  • 8+ years of progressive administrative/executive support managing multiple executives, complex schedules, and competing priorities in a fast-paced environment.
  • Strong interpersonal skills with the ability to interact effectively with individuals at all levels of an organization.
  • Advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Teams.
  • Strong calendar management, meeting coordination, and global travel planning capabilities.
  • Demonstrated ability to manage confidential and sensitive information with discretion.
  • Exceptional organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Candidates must be legally authorized to work in the United States without the need for employer sponsorship.

Responsibilities

  • Manage complex executives calendars and schedules.
  • Prioritizing competing demands and ensure executives are prepared for meetings and business activities.
  • Oversee internal and external meetings including conference room preparation, catering needs, agendas and technology.
  • Plan complex domestic and international travel arrangements, including itineraries, accommodations, ground transportation, and last-minute schedule changes.
  • Handle highly confidential and sensitive information with the utmost discretion and professionalism.
  • Anticipate executive needs and proactively manage administrative and operational requirements.
  • Attend executive meetings as needed to document action items, facilitate follow-up, and ensure timely communication and execution of deliverables.
  • Oversee internal and external event management, special projects and initiatives, working independently and collaboratively with internal and external stakeholders.
  • Prepare, analyze, edit, and format professional correspondence, reports, presentations, and other executive-level materials using Microsoft Office and other business applications.
  • Serve as a professional liaison between executives, employees, clients, vendors, and other internal and external stakeholders.
  • Monitor follow-up items, deadlines, and commitments to ensure timely execution and completion.
  • Exercise sound judgment when managing competing priorities, responding to evolving business needs, and escalating sensitive matters.
  • Other duties as assigned to support the Executive Assistant to the Chief Executive Officer.
