About The Position

As an Executive Assistant, you will provide high-level administrative support to the executive leadership team by managing schedules, coordinating meetings and events, preparing correspondence and presentations, and handling confidential information with professionalism and discretion. The Executive Assistant serves as a key liaison between leadership, employees, members, vendors, and community partners while ensuring the smooth operation of executive offices and strategic initiatives.

Requirements

  • High school graduate required
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Exceptional organizational and time management skills with strong attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to prioritize multiple assignments and meet deadlines in a fast-paced environment.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment.
  • Strong interpersonal skills with the ability to interact professionally at all levels of the organization.
  • Self-motivated and able to work independently with minimal supervision.
  • Strong problem-solving and critical-thinking abilities.

Nice To Haves

  • Associate's or Bachelor's degree preferred.
  • Minimum of three years of executive administrative support experience preferred.

Responsibilities

  • Manage executive calendars, schedule appointments, meetings, and events, and ensure leaders are prepared for upcoming commitments.
  • Coordinate travel arrangements, including transportation, accommodations, itineraries, and expense reporting.
  • Prepare, edit, and distribute correspondence, reports, presentations, agendas, and other executive materials.
  • Serve as a primary point of contact for internal and external communications on behalf of executive leadership.
  • Organize and coordinate meetings, including room reservations, logistics, materials preparation, and meeting minutes.
  • Handle confidential and sensitive information with professionalism, discretion, and sound judgment.
  • Assist with Board of Directors meetings by preparing board packets, meeting materials, agendas, and minutes as assigned.
  • Track and follow up on action items, projects, deadlines, and organizational initiatives.
  • Coordinate company events, employee recognition activities, and executive-sponsored programs.
  • Maintain filing systems, records, and documentation to ensure accuracy and accessibility.
  • Provide administrative support for special projects and strategic initiatives.
  • Build and maintain positive working relationships with employees, members, vendors, and community partners.
