About The Position

Brentwood Associates is seeking an Executive Assistant to support a tenured Partner and other senior members of our Investment and Growth and Operations Team. This role will help protect the Partner’s time, manage competing priorities, and keep commitments on track. The ideal candidate is a proactive, highly organized professional who anticipates needs, communicates clearly, and follows through with sound judgment and discretion. The Executive Assistant will also work closely with the Executive Assistant team to plan and execute the firm’s largest events, coordinate calendars across the firm, and share hands-on responsibility for day-to-day office administration. The goal is to keep the office running smoothly and help foster a high-performing, engaged culture. This full-time role is based in West LA near Westwood and requires reliable commuting to the office.

Requirements

  • 3+ years of administrative support experience, preferably in a scaling professional services, startup, or other entrepreneurial setting.
  • Strong attention to detail, excellent follow-up skills, and a proactive approach to problem-solving.
  • Uncompromising judgment and discretion in handling sensitive and confidential information.
  • Exceptional multitasking and organizational skills. Grace under pressure is a must!
  • Strong interpersonal skills and a customer service mindset.
  • A technology-forward mindset: curious about new tools, including AI, and eager to put them to work for you and the EA team.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and experience with tools such as Zoom, Teams, Slack, Ramp, Egencia, DocuSign, and Adobe Acrobat Pro.
  • Extensive experience coordinating travel and familiarity with airline, hotel, and credit card reward programs.
  • Excellent written and verbal communication skills.
  • Occasional after-hours availability may be required.
  • Bachelor's degree or equivalent experience.

Responsibilities

  • Anticipate the Partner’s needs, help prioritize commitments, and ensure follow-through on key initiatives.
  • Proactively manage the details to protect the Partner’s time, remove distractions, and keep things moving.
  • Serve as the primary point of contact for the Partner, coordinating communications with colleagues, senior executives, Limited Partners, investor relations contacts, investment bankers, and other deal sources.
  • Handle sensitive information with professionalism and discretion.
  • Manage complex calendars, scheduling meetings, coordinating calls, and handling logistics for board meetings, investor meetings, and industry events.
  • Arrange domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries leveraging Egencia, our travel platform.
  • Handle expense reporting and reimbursements, using Ramp to process and track expenditures.
  • Support the Partner with personal needs as they arise, such as coordinating appointments and the occasional errand.
  • Support office operations by screening calls and emails, assisting with employee onboarding and recruiting, coordinating vendors, meals, and catering, handling building maintenance requests, and managing office and kitchen supplies.
  • Work closely with the Executive Assistant team to organize and execute firm-wide events such as offsite planning sessions, quarterly outings, Limited Partner Advisory Board meetings, and the Annual General Meeting.
  • Assist in managing Brentwood's external communication channels, including our website, LinkedIn, Instagram, and email marketing.
  • Identify ways to improve efficiency and streamline processes, including leveraging technology, automation, and AI-enabled tools to reduce manual work and enhance team productivity.
  • Support team initiatives and act as a resource for all colleagues.
