About The Position

Join our team as an Executive Assistant, supporting the Executive Director of our Continuing Care Retirement Community. In this role, you will independently manage communications, correspondence, issue resolution, scheduling, travel arrangements, and resident/vendor requests. Linden Ponds is a beautiful 108-acre continuing care retirement community located on the South Shore in Hingham, Massachusetts. Requirements

  • Proficient in Microsoft Office Suite
  • Minimum of 2 years of experience in administrative office support.

Responsibilities

  • Answer and screen all incoming calls, emails, and voice mail for the Executive Director
  • Greets residents and other walk-in visitors.
  • Manage traffic flow and access to Executive Director, and provide direct assistance to walk-in visitors when appropriate
  • Address and resolve various community/resident issues as appropriate, with minimal direction from the Executive Director.
  • Escalate or refer issues to the appropriate person as needed.
  • Acts as a liaison between Executive Director and personnel, outside companies, and residents
  • Manage the calendar of the Executive Director, scheduling meetings and conferences, and handle shifting priorities and conflicts as they arise
  • Process departmental mail and ensure that appropriate follow-up and prioritization occurs on all other correspondence
  • Prepare and type the minutes of staff meetings and maintain intra- and inter-departmental communications.
  • Gather, maintain, and send timesheets for all department personnel.
  • Coordinate travel itineraries, including air and ground transportation and hotel accommodations
  • Maintain files and data storage, set up conferences and meeting rooms as needed, and process expense reports.
