About The Position

Integrated Bio is seeking an exceptional Executive Assistant to manage onsite logistics and support the CEO in ensuring the smooth operation of the company. This role involves owning calendar management, inbox triage, meeting preparation, travel coordination, and follow-through, as well as running the administrative operations of the CEO's office. The ideal candidate will possess unimpeachable discretion, sharp judgment in handling responsibilities, and excellent communication skills. This is an in-person role located at Redwood LIFE in Redwood City, CA.

Requirements

  • A bachelor's or master's degree in a science or business-related field.
  • 2+ years of experience supporting a C-level executive, founder, or partner in a fast-paced environment (startup, biotech, VC, banking, or similar).
  • A proven track record of unimpeachable discretion with sensitive information, verifiable by references.
  • Exceptional organization and prioritization skills, with the ability to maintain calm execution under pressure and amidst shifting priorities.
  • Direct and concise communication style.
  • Sound judgment regarding escalation, knowing what to handle independently, what to raise to the CEO, and when.
  • Fluency with modern tools including Google Workspace, Slack, and AI tools such as ChatGPT or Claude.

Nice To Haves

  • Experience supporting a CEO or founder at a venture-backed startup or life sciences company.
  • Experience coordinating board meetings, legal and HR paperwork, and investor logistics.
  • Event planning experience (offsites, team events, scientific advisory board meetings).
  • Interest in the business and science of biotech, particularly therapeutics and drug discovery.

Responsibilities

  • Coordinate the CEO's calendar, prioritizing ruthlessly, protecting focus time, and gracefully declining requests when necessary.
  • Triage the CEO's inbox and communications, drafting responses and identifying critical items requiring attention.
  • Prepare the CEO for all meetings by creating agendas, briefs, and gathering necessary materials, and track all follow-up actions to completion.
  • Coordinate travel, expenses, and scheduling with investors, board members, advisors, and partners.
  • Manage the day-to-day administrative operations of the CEO's office, proactively identifying and resolving issues before they reach the CEO.
  • Handle confidential information with absolute discretion.
