Responsibilities

  • Own and optimize calendar management across multiple priorities
  • Coordinate meetings, calls, and events with precision
  • Act as a facilitator for time, communication, and priorities
  • Organize inboxes, flag key items, and assist with responses (including drafting from dictation)
  • Prepare agendas, notes, and follow-ups to ensure execution
  • Track tasks, deadlines, and key initiatives across businesses
  • Ensure follow-through from team members and partners
  • Organize and manage ongoing and new projects
  • Assist in launching new businesses and non-profits
  • Create systems to improve efficiency and reduce chaos
  • Plan and coordinate business and personal travel
  • Occasionally travel alongside for support (rare but important)
  • Ensure seamless itineraries and contingency planning
  • Run high-level errands (Bradenton, Sarasota, Anna Maria Island)
  • Gift sourcing and coordination
  • Schedule personal appointments and logistics
  • Assist with rental property coordination and vendor communication
  • Support organization of documents, finances, and tax preparation (with professionals)
  • Help physically organize office and workspace
  • Create systems for both digital and physical organization
  • Bring structure to workflows and daily operations
