The Executive Assistant (EA) provides administrative support to local executives. The EA serves as a point of contact for all internal and external parties. This involves anticipating administrative needs, managing workload, and producing work of the highest quality in a timely manner. The EA is responsible for working closely with their Executive(s) to optimize efficiency, while independently managing administrative tasks and coordinating special projects. The EA will handle confidential firm information which requires a high level of discretion. When workload is unusually heavy, the ability to effectively delegate tasks is essential. Additionally, the EA will provide occasional back-up support to the local administrative team. Maintain executives’ contacts for business development purposes and assists with management of leads development. Assist with the coordination of promotional material for business development. Coordinate internal or client meetings, special events, and travel arrangements. Record time details and billable expenses to facilitate billing and other accounting procedures. Work directly with members of the finance billing team to proofread and edit billing narratives for invoices sent to clients and tracking accounts receivables; this may require direct outreach to clients for timely processing. Responsible for assisting with conflict checks, generating engagement letters, and creating correspondence files. Create, organize, and maintain the administrative structure for each project (LAN files, “hard” files, document storage, project set-up, and closure). Provide document management support. As needed, provides support for recruiting initiatives, expert development, marketing events, practice areas or other corporate initiatives. Compose and process routine correspondence. Proofread all written materials.
