About The Position

The Executive Assistant provides high-level administrative and operational support to executive leadership. This role requires exceptional organizational, communication, and relationship-management skills, along with the ability to anticipate needs, manage competing priorities, and maintain strict confidentiality. The successful candidate will serve as a trusted partner to executives while collaborating effectively with internal teams and external stakeholders.

Requirements

  • Exceptional organizational, interpersonal, written, and verbal communication skills.
  • Ability to manage multiple complex tasks simultaneously while maintaining attention to detail and meeting deadlines.
  • Proven ability to maintain confidentiality and exercise sound judgment in handling sensitive information.
  • Strong relationship-building skills with the ability to work effectively with executives, clients, vendors, and other stakeholders.
  • Proficiency with Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, Teams, and other business collaboration tools.
  • Strong problem-solving skills with the ability to anticipate needs and proactively address challenges.
  • Ability to work independently while also collaborating effectively across teams and departments.
  • Strong professional presence and customer-service orientation.
  • Associate's Degree in Business Administration or a related field preferred; equivalent professional experience will be considered.
  • Minimum of 5 years of Executive Assistant experience supporting senior leaders or executive-level management.
  • Demonstrated experience supporting multiple executives and managing competing priorities in a fast-paced environment.
  • Experience coordinating meetings, travel, events, and executive communications.

Responsibilities

  • Manage complex executive calendars, scheduling priorities, and time-sensitive commitments.
  • Partner closely with executives to prioritize competing demands, manage critical communications, and support daily business operations.
  • Coordinate and manage domestic and international travel arrangements, including itineraries, accommodations, transportation, and related logistics.
  • Prepare and submit executive expense reports accurately and in a timely manner.
  • Draft, edit, proofread, and distribute professional correspondence, reports, presentations, and other business communications.
  • Attend meetings as needed to capture, organize, and distribute meeting notes, action items, and follow-up communications.
  • Coordinate logistics for leadership meetings, off-site events, and company functions.
  • Support the administrative and operational needs of executive leadership teams.
  • Handle confidential, sensitive, and proprietary information with the highest level of discretion.
  • Serve as a liaison between executives and internal and external stakeholders, fostering strong professional relationships.
  • Assist with special projects and process improvement initiatives as assigned.
  • Availability outside standard business hours may occasionally be required to support executive and business needs.
