About The Position

The Executive Assistant provides high‑level administrative and organizational support to the Directors, ensuring the efficient operation of day‑to‑day business activities. This role is responsible for managing calendars, coordinating travel, processing expenses, and supporting priorities across multiple leaders. The Executive Assistant acts as a trusted liaison, handling confidential information with discretion while enabling Directors to focus on strategic and operational objectives.

Requirements

  • 5+ years of relevant experience in the same or similar positions.
  • Completion of a college diploma... Or an equivalent combination of experience and education.
  • Strong organizational and time‑management skills with the ability to manage competing priorities
  • Excellent written and verbal communication skills
  • High attention to detail and accuracy
  • Strong judgment, discretion, and professionalism when handling confidential information
  • Ability to anticipate needs, problem‑solve, and work independently
  • Strong interpersonal skills and ability to build effective working relationships
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams)

Responsibilities

  • Provide administrative support to all Directors, including scheduling, correspondence, and coordination of meetings
  • Handle sensitive and confidential information with a high degree of professionalism and discretion
  • Manage and maintain executive calendars, including prioritizing appointments, resolving conflicts, and coordinating across time zones
  • Coordinate and book executive travel (air, hotel, ground transportation), prepare itineraries, and manage last‑minute changes
  • Prepare, submit, and track Director expense reports in accordance with company policies and timelines
  • Serve as the authorized delegate for expense and time‑off approvals on behalf Directors
  • Provide budget administration support to Directors, including budget planning, tracking, reporting, and budget transfers
  • Support the Legal department with administrative and operational activities, including managing invoices and accruals, assisting with quarterly reporting, and coordinating special projects and other ad hoc initiatives.
  • Support the coordination, tracking, and reporting of departmental objectives, key performance indicators (KPIs), and progress against established goals.
  • Prepare meeting materials, presentations, agendas, and follow‑up documentation as required
  • Support execution of key initiatives by tracking action items, deadlines, and deliverables
  • Prepare and distribute weekly bulletins for all team members
  • Maintain organized electronic and physical filing systems for records, contracts, and correspondence
  • Coordinate logistics for meetings, events, and off‑sites (meeting rooms, technology, catering, materials)
  • Support the administration of the company car program as required
  • Assist with general administrative tasks such as document editing, data entry, reporting, and process improvements
  • Proactively identify opportunities to improve administrative workflows and efficiency
  • Perform other related administrative duties as assigned to support the Directors and broader leadership team
