About The Position

Reporting directly to the Chief Financial Officer, the Executive Assistant (EA) provides senior-level executive support to the CFO and the finance team, including the VP of Investor Relations and the VP of FP&A and Treasury. Aligned with RioCan’s values and culture, the ideal candidate must be creative and enjoy working within a dynamic environment. The EA will have excellent attention to detail and organizational skills, the ability to exercise sound judgment in diverse situations, and the ability to balance multiple priorities. The successful candidate will have a professional approach to dealing with senior-level internal and external stakeholders.

Requirements

  • Demonstrated five years of progressive administrative experience required; direct experience supporting a senior-level executive;
  • Proven success in a high-volume work environment with balancing and shifting priorities;
  • Advanced proficiency in Outlook, MS Word, and PowerPoint;
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment;
  • Exceptional verbal & written communication skills with a strong business sense and ability to fact-check and proof documents;
  • Proven ability to work in a team environment;
  • Proactive, show initiative, and exercise good judgment;
  • A high sensitivity to the confidentiality of information;
  • Ability to think outside the box with a sense of urgency, decipher priorities and make sound judgment calls when needed.

Nice To Haves

  • A Bachelor’s Degree, college Diploma, or Certificate in Executive Office Administration is considered an asset;

Responsibilities

  • Complex scheduling and calendar management for the CFO and other executives;
  • Prepare and anticipate the needs of the CFO, other executives, and the business;
  • Event and meeting management including planning internal and external events and offsites;
  • Arrange travel for the CFO and other executives and prepare expense reports;
  • Coordinate the preparation of reports and presentations for meetings with executives, investors, and the Board;
  • Manage sensitive matters with a high level of confidentiality and discretion;
  • Represent RioCan and the office of the CFO in a positive light through excellent follow-through skills, attention to detail, prioritization, communication, and sound judgment;
  • Other duties and responsibilities as assigned.
