This role is a key part of supporting that mission by ensuring our advisor and operations function efficiently, professionally, and with exceptional responsiveness. Position Overview The Executive Assistant serves as the primary administrative and operational partner to the Advisor, providing comprehensive business support and limited personal assistance with the highest level of professionalism and confidentiality. This role goes beyond traditional administrative tasks: the Executive Assistant manages priorities, anticipates needs, maintains systems, and ensures the Advisor’s time, focus, and workflow are optimized. The ideal candidate is detail-oriented, self-directed, and comfortable operating independently in a professional services environment. Previous experience within Ameriprise Financial is highly valued.

Requirements

  • 5–7+ years of experience as an Executive Assistant or in a similar role, ideally within financial services, wealth management, or professional services
  • Exceptional organizational skills and strong attention to detail
  • High proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams); experience with Salesforce or similar CRM systems preferred
  • Strong analytical, problem-solving, and independent judgment skills
  • Excellent written and verbal communication
  • Pleasant, professional, and personable demeanor; team player
  • Highest levels of discretion, integrity, and confidentiality
  • Comfortable supporting both business and limited personal administrative tasks
  • “Can-do” attitude: proactive, assertive, resilient, emotionally intelligent, and aligned with firm culture

Nice To Haves

  • Previous experience with Ameriprise Financial is highly preferred
  • Bachelor’s degree preferred but not required

Responsibilities

  • Manage inbound email and communications, prioritizing and escalating as appropriate
  • Manage the Advisor’s calendar, including client meetings, internal meetings, and travel coordination
  • Proactively anticipate needs and independently manage administrative workflows
  • Provide discreet personal administrative support as needed (e.g., personal email, scheduling, or errands) with strict confidentiality
  • Maintain documentation, CRM data entry, and task tracking
  • Oversee operational workflows, including task prioritization, project support, and client-service coordination
  • Support meeting preparation, materials, and follow-up
  • Support phone coverage by answering and routing calls/messages
  • Assist with client communications and administrative follow-up
  • Provide general administrative support, including scheduling, email management, task assignments, and follow-up documentation
