THE JOB We are seeking a highly organized, proactive Executive Assistant to provide high-level support to the Chief Financial Officer of LN Concerts, who oversees the Finance, Accounting, Shared Services, Analytics, and other operational functions departments. As a trusted partner to the CFO and leadership team, this role ensures that priorities, communications, meetings, and critical deliverables are managed with precision, discretion, and sound judgment.

Requirements

  • 5+ years of experience supporting senior executives in a complex, fast-paced organization; experience supporting a CFO, finance executive, or senior leadership team is strongly preferred.
  • Exceptional calendar management, meeting coordination, and project-tracking skills, with meticulous attention to detail.
  • Demonstrated ability to manage confidential information and exercise sound judgment in sensitive situations.
  • Advanced proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Teams; comfort learning new collaboration and workflow tools.
  • Excellent written and verbal communication skills, including the ability to prepare polished executive-facing materials.
  • Strong ability to anticipate needs, prioritize competing demands, and remain calm and resourceful through changing deadlines.
  • Highly professional interpersonal skills and confidence working with executives, functional leaders, and external partners.
  • Ability to work independently while building strong partnerships across the concerts division.
  • Bachelor's degree or equivalent combination of education and relevant experience preferred.

  • Experience in live entertainment, media, technology, or another multi-entity, high-growth business environment is a plus.

Responsibilities

  • Proactively manage the CFO's complex calendar, protecting time for strategic priorities while balancing internal and external commitments.
  • Coordinate meetings, leadership forums, and events; ensure the right participants, materials, logistics, and follow-up are in place.
  • Manage the CFO's workflow across meetings, correspondence, decisions, and milestones; surface conflicts, deadlines, and required actions early.
  • Partner closely with leaders across Finance, Accounting, Shared Services, Analytics, and other operational functions to coordinate cross-functional priorities and executive-level deliverables.
  • Prepare agendas, collect and organize pre-reads, maintain action logs, and drive timely follow-up on commitments from finance leadership meetings.
  • Handle highly confidential financial, organizational, and personnel information with discretion and excellent judgment.
  • Draft, format, and proofread high-quality correspondence, presentations, meeting materials, and other confidential documents for the CFO and leadership team.
  • Serve as a professional point of contact for senior leaders, internal partners, external advisors, vendors, and other key stakeholders.
  • Coordinate domestic and international travel, including flights, lodging, ground transportation, itineraries, and real-time updates as plans change.
  • Support expense reporting, invoice and purchase-order coordination, and other administrative processes in partnership with Finance and Shared Services teams.
  • Help organize executive offsites, department meetings, team events, and onboarding activities for the Finance organization.
  • Track priority projects and requests, maintain organized records, and ensure materials and decisions are readily accessible.
  • Anticipate needs, resolve routine issues independently, and escalate matters requiring the CFO's attention with clear context and recommendations.
  • Identify opportunities to improve administrative workflows, meeting practices, and communications across the organization.
  • Provide diversified administrative support and manage multiple priorities with minimal supervision in a fast-paced environment.
  • Perform other duties and special projects as assigned by the CFO or management, which may include indirect assistance to the CFO by helping on projects or needs of the teams within the CFO’s organization.
