About The Position

Penguin Random House seeks an Executive Assistant to support the Penguin Random House Media Group, located in North Hollywood, CA. This is an on-site, in office role. The Executive Assistant will support the President of Development and Vice President of Development while assisting with the day-to-day development and operations of the newly formed Penguin Random House Media Group, which oversees the development and production of Penguin Random House projects for film and television. This position requires excellent organizational and administrative skills, strong creative instincts, and a strong working knowledge of the film, television, and publishing industries, including writers, directors, producers, actors, agents, managers, studios, networks, streamers, and production companies. The ideal candidate is highly organized, resourceful, detail-oriented, and passionate about books, film, television, and adaptation. This is an opportunity to work closely with senior development executives while gaining hands-on experience across creative development, project tracking, industry research, and the broader adaptation process. Knowledge of the publishing industry and media rights is a plus but is not necessary. Must have access to a car and the ability to be in person in the office Monday through Friday working 9:00am-5:00pm PST.

Requirements

  • Minimum of a year’s experience running a desk at an agency, management company, or production company.
  • High level of attention to detail, skilled in managing competing priorities, and ability to produce highly accurate work.
  • Strong familiarity with applications like AirTable and Canva.
  • Discretion regarding confidential materials.
  • Organizational skills and the capability to prioritize and navigate competing deadlines.
  • Effective interpersonal communication skills.
  • Resourcefulness and ability to anticipate needs.
  • Strong creative judgment and the ability to articulate thoughtful opinions about books, scripts, writers, filmmakers, and other creative material.
  • Strong follow-up skills and the dexterity to manage a busy inbox and multiple calendars.
  • Able to work both independently and as a member of a team.
  • Capability and interest in learning new applications.
  • Effective written communication skills.
  • An avid reader with a genuine passion for books, film, and television and a strong interest in adaptation and development.
  • Must have a valid driver’s license, access to a car, and the ability to work in person at the Los Angeles office Monday through Friday.

Responsibilities

  • Manage the day-to-day administration of the office and executive desks, including heavy calendars, scheduling, meeting coordination, lunches, conference calls, incoming and outgoing phone calls, and phone logs.
  • Anticipate scheduling and administrative needs, track follow-ups, and help executives prioritize competing deadlines and responsibilities.
  • Read and evaluate books, comics and graphic novels, scripts, treatments, pitches, and writing samples; provide thoughtful creative feedback and coverage as needed.
  • Build company and project pitch decks.
  • Manage and coordinate incoming and outgoing project submissions and maintain accurate submission logs, project tracking, and related materials.
  • Research writers, directors, producers, actors, and potential producing, studio, network, and streaming partners using industry trades, tracking boards, databases, and professional relationships.
  • Maintain development reports, project grids, and other internal tracking documents and participate in weekly development meetings.
  • Prepare executives for pitches, meetings, and calls by compiling relevant project, company, talent, and marketplace information; track follow-ups and next steps.
  • Monitor industry trades, announcements, and marketplace activity and flag relevant talent, projects, buyers, partners, and trends to the development team.
  • Coordinate with PRH publishers, editors, rights teams, and other internal stakeholders to obtain materials and information related to projects under consideration or in development.
  • Manage guests and visitors, including providing directions and parking information and greeting guests upon arrival.
  • Oversee day-to-day office operations, including coordinating vendors, maintenance and repairs, IT and audio/visual needs, parking, supplies, and facilities-related projects.
  • Maintain physical and digital office libraries and files, including books, comics and graphic novels, scripts, company files, and project materials.
  • Liaise with other Penguin Random House publishing imprints and divisions regarding publishing contracts, rights information, conventions, book and graphic novel supply, company events, and other internal needs.
  • Run occasional business-related errands and provide additional administrative and operational support as needed.
