About The Position

We are seeking a full-time executive assistant who will provide high-quality administrative, logistical, and operational support to the Chief Executive Officer (approximately 60% of the role), as well as additional support to the executive team (approximately 20%) and the People + Marketing team (approximately 20%). The role will report directly to the Vice President of People + Marketing, and requires strong execution, organization, and follow-through, including managing calendars, coordinating meetings and travel, supporting office operations, and assisting with company events, retreats, and internal initiatives. This is a hybrid role based in our Denver, CO office, requiring some in-office presence (Tuesday-Thursday) with the ability to be flexible, as needed.

Requirements

  • Bachelor’s degree preferred, or equivalent combination of education and experience
  • At least two years of experience as an Executive Assistant, Senior Administrative Assistant, or Office Manager role supporting senior leaders.
  • Demonstrated experience managing complex calendars, travel coordination, and meeting logistics.
  • Exceptional organizational and time management skills, with a strong ability to manage multiple projects simultaneously.
  • Proficiency in the Microsoft Office suite
  • Ability to work independently and handle confidential information with discretion.
  • Exceptional attention to detail

Responsibilities

  • Manage the CEO’s complex calendar, including scheduling internal and external meetings, prioritizing requests, and proactively resolving conflicts or changes.
  • Serve as a gatekeeper for the CEO’s time, exercising judgment and discretion.
  • Provide high-level administrative support to executives, including coordinating meetings, preparing materials, and arranging reservations and logistics.
  • Conduct research and compile information to support executive decision-making, presentations, and special projects.
  • Identify and implement opportunities to streamline processes and improve executive workflows.
  • Arrange and manage complex travel itineraries, accommodations, and logistics for the executives and for company-wide travel.
  • Oversee day-to-day office operations for the Denver, CO, and Tulsa, OK offices, serving as the main point of contact for all office-related needs to ensure smooth functionality and a positive employee experience.
  • Support ad hoc projects requiring coordination across the company.
  • Provide administrative coordination support to the People & Marketing team, including scheduling, document preparation, and project tracking.
  • Coordinate planning and logistics for annual retreats and quarterly team meetings, including venues, activities, travel, agendas, materials, and on-site support.
  • Support employee engagement initiatives, company celebrations, employee milestones, and life events.
  • Assist with marketing engagement tracking, including maintaining reports or dashboards related to campaigns, events, or internal engagement metrics.
  • Ensure marketing and internal communications activities are organized, tracked, and documented for visibility and follow-up.

Benefits

  • This position offers an attractive compensation and benefits package.
  • The base annual salary range for this role is $65,000 to $75,000, depending on experience, along with an annual bonus.
