About The Position

We are seeking a highly organized and proactive Executive Assistant to support the Vice President of Technology, Employee Experience and the Vice President of Technology, Store Technology, while also supporting the greater organization. The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks, with the ability to work independently and with a team of other executive assistants and leaders. This role requires impeccable attention to detail, the ability to meet tight deadlines, flexibility, and great communication skills.

Requirements

  • Proven experience as an Executive Assistant or similar administrative role
  • Proficient in Microsoft Office Suite (SharePoint, Excel, Outlook, and PowerPoint) and experience with virtual meeting software (e.g., Microsoft Teams, Slack)
  • Exceptional context-switching ability, can shift rapidly between priorities and people without losing track of what’s in flight
  • Excellent communication and interpersonal skills
  • Ability to navigate through ambiguity and influence without authority
  • A proactive approach to problem-solving with strong decision-making capabilities
  • Ability to maintain a high level of integrity and discretion in handling confidential information
  • Experience in managing executive calendars and travel arrangements
  • Comfortable thriving in a fast-moving, high-change environment; able to keep many workstreams in motion simultaneously and switch context quickly without losing momentum
  • Exceptional attention to detail and follow-through

Nice To Haves

  • Bachelor's degree in business administration or related field preferred, or equivalent working experience

Responsibilities

  • Provide comprehensive support services to the Vice Presidents by building a foundation of a professional, responsive, and effective environment for the organization
  • Manage complex calendars by proactively prioritizing, scheduling, preparing for and communicating meetings and events for the Vice Presidents and others as needed
  • Partner with other team members to help build company culture by leading engagement/recognition projects, organizing team communications and planning events, both internally and offsite
  • Assist in maintaining department discretionary budget and manage expense reconciliation and travel arrangements
  • Prepare and edit correspondence, reports, and presentations
  • Handle highly confidential information with discretion and maintain the security of the Vice Presidents’ records and files
  • Perform other related duties and execute projects as assigned
