About The Position

Dorchester County Public Schools is currently seeking an Executive Assistant to the Assistant Superintendent of Administrative Services, located at the Central Office. This position requires a highly skilled and dedicated executive assistant who deals with many confidential matters and provides direct, daily support to the Assistant Superintendent of Administrative Services; and as needed, supplies resources and works directly with the Office of the Superintendent of Schools. The primary responsibilities of the Assistant Superintendent of Administrative Services include Maintenance/Facilities, Transportation, School Security, Human Resources, Risk Management, Negotiations, Board Policy, and Legal Services

Requirements

  • Demonstrates proficiency in computer and word processing skills, especially Microsoft Office Suite applications, (Word, Excel, Outlook Calendar, and PowerPoint), Canva, Google Drive, etc.
  • Proficiency in proofreading and editing confidential documents.
  • Proficiency in general accounting procedures.
  • Knowledge of common practices, organization, and policies and procedures of Dorchester County Public Schools.
  • Working knowledge of modern office procedures and equipment, various software programs, the principles of office management, and of standard record maintenance procedures.
  • Ability to make decisions in accordance with precedents, rules, and regulations.
  • Ability to apply Board policy to daily work decisions, exercise good judgment, courtesy, and tact in dealing with people on the telephone and in person.
  • Ability to explain policies, rules, regulations, and procedures to others.
  • Must be able to work independently on routine, complex and confidential tasks.
  • Ability to maintain strict confidentiality is a must. A breach of confidentiality may cause immediate termination .

  • Five (5) years of successful secretarial experience with increasing responsibilities preferred.

Nice To Haves

  • Bachelor’s Degree in related area preferred.
  • Background in law or paralegal preferred.
  • Familiarity and ability to utilize SunGard administrative data system, and Cognos software are preferred.

Responsibilities

  • Coordinates the daily activities of the office by maintaining calendars, scheduling appointments, conferences, and training.
  • Communicates in a positive manner and answers inquiries with tact and gives appropriate assistance as needed.
  • Prepares agendas and assembles materials for meetings and training and specifically provides administrative support in the preparation of exhibits for presentation at Board of Education meetings.
  • Serves as backup to the Executive Assistant to the Superintendent of Schools.
  • Attends meetings and prepares minutes for distribution to appropriate stakeholders.
  • Maintains a well-organized hard copy and electronic filing system.
  • Creates and maintains electronic databases.
  • Produces a variety of documents from rough draft copy, verbal instructions, detailed notes, including updating salary scales and language with the negotiated agreements for all bargaining units.
  • Processes correspondence for office via telephone calls, emails, and all other mail.
  • Organizes pertinent data and puts it into usable form.
  • Maintains budget accounts and assists with the development of the office budget.
  • Prepares purchase orders and maintains records for office purchases.
  • Obtains approval and processes building use via SchoolDude (a facilities portal).
  • Coordinates and prepares documents for the school calendar process to be submitted to the School Calendar Committee, Superintendent of Schools, and the Board of Education, and all county employees.
  • Maintains and organizes policies.
  • Handles Maryland Public Information Acts (MPIA) requests.
  • Works directly with Board Members, Board Attorneys, Office of the Superintendent, etc. on a regular basis.
