About The Position

The Executive Assistant provides high-level administrative support to senior executives, typically the CEO, President, or other C-suite leaders. This role requires exceptional organizational skills, attention to detail, discretion, and the ability to anticipate needs and proactively address them. The Executive Assistant acts as a gatekeeper, problem-solver, and a key point of contact, ensuring the executive's time is managed effectively and operations run smoothly.

Requirements

  • Minimum of 5+ years as an Executive Assistant supporting C-level executives.
  • Ability to speak, read, and write Mandarin Chinese is required.
  • Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
  • Superior written and verbal communication skills, with a strong command of grammar and punctuation.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant software (e.g., Google Workspace, video conferencing platforms).
  • High level of discretion and ability to handle confidential information with integrity.
  • Proactive, resourceful, and able to anticipate needs.
  • Strong interpersonal skills and a professional demeanor.
  • Ability to work independently with minimal supervision and as part of a team.
  • Problem-solving abilities and a strong attention to detail.

Nice To Haves

  • Bachelor's degree preferred, or equivalent practical experience.
  • Experience working for multinational companies.
  • Familiarity with ERP systems or project management tools.
  • Event planning experience.

Responsibilities

  • Manage complex and ever-changing calendars, scheduling internal and external meetings, appointments, and travel.
  • Prioritize and resolve scheduling conflicts, ensuring optimal use of the executive's time.
  • Coordinate meeting logistics, including room booking, technology setup, and catering.
  • Serve as the primary point of contact for internal and external stakeholders, screening and directing calls, emails, and visitors.
  • Draft, review, and edit professional correspondence, reports, presentations, and other documents.
  • Handle confidential and sensitive information with the utmost discretion.
  • Act as a liaison between the executive and functional heads, employees, and external parties.
  • Arrange detailed domestic and international travel itineraries (flights, hotels, ground transportation).
  • Prepare and submit expense reports accurately and in a timely manner.
  • Manage travel logistics, including visa applications and currency exchange, as needed.
  • Prepare meeting agendas, pre-reading materials, and presentations.
  • Attend meetings, take comprehensive notes, prepare and distribute meeting minutes.
  • Track action items and follow up to ensure timely completion.
  • Assist with special projects, research, and data gathering as assigned.
  • Coordinate and manage small projects independently or as part of a team.
  • Help prepare and organize materials for board meetings, investor presentations, and other critical events.
  • Maintain organized filing systems (physical and digital).
  • Order and maintain office supplies for the executive's office.
  • Handle personal errands or tasks for the executive, if requested and appropriate.
  • Build and maintain positive, trusted relationships with internal staff, clients, partners, and vendors.
  • Represent the executive and the company in a professional and positive light.
