About The Position

The Tax Planning Assistant provides high-level administrative and operational support to the Tax Leadership Team, with a specific focus on administrative activities. This role ensures the smooth coordination of schedules, meetings, documentation, and communication. The ideal candidate is detail-oriented, proactive, and able to manage sensitive personal, financial, and tax-related information with the utmost confidentiality.

Requirements

  • 3+ years of experience in an administrative or executive support role.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational skills.

Nice To Haves

  • Experience supporting finance, tax, or legal teams is a plus.
  • Bachelor's degree in Business Administration, Accounting, Finance, Communications, or a related field (preferred).

Responsibilities

  • Manage leadership calendars and schedule tax-related meetings, reviews, and planning sessions, ensuring efficient use of time and resources.
  • Prepare, organize, and maintain tax documentation, reports, presentations, and planning materials with accuracy and professionalism.
  • Assist in coordinating inputs and follow-ups with internal teams, advisors, and external tax partners.
  • Track important deadlines related to tax filings, planning cycles, and compliance items.
  • Screen and prioritize incoming tax-related correspondence, emails, and inquiries, ensuring timely follow-up and clear communication.
  • Coordinate and facilitate planning meetings, including preparing agendas, taking minutes, and managing action items to completion.
  • Act as a liaison between leaders, tax advisors, internal partners, and external stakeholders, ensuring smooth information flow and maintaining positive relationships.
  • Arrange travel, meetings, and logistics as needed.
  • Anticipate needs and proactively support the leadership team, helping streamline decision-making and administrative workflows.
  • Manage confidential and sensitive information with a high degree of discretion and compliance with company policies.
  • Support special projects and ad-hoc requests tied to leadership initiatives.
