About The Position

The Executive Assistant will support the Office of the Staff Judge Advocate with high-level executive, administrative, and legal office support by managing front-office operations, coordinating schedules and correspondence for senior legal leadership, facilitating client intake and communication, and ensuring accurate, timely handling of legal documents, records, and mission-critical workflow in a fast-paced military justice and legal services environment.

Requirements

  • Must be a U.S. Citizen.
  • Possess an active security clearance Tier 3 (T3), Secret, and/or be able to obtain a Secret clearance.
  • Associate's Degree in any field.
  • Proficient in Microsoft Office Suite (Microsoft Word, Excel, PowerPoint).
  • At least one year of experience in clerical or data entry, obtained in an office setting.
  • One year of experience working in a military environment required.
  • Read, understand, speak, and write English fluently to effectively communicate with customers and staff, both in person and via telephone.

Responsibilities

  • Manage front-office operations.
  • Coordinate schedules and correspondence for senior legal leadership.
  • Facilitate client intake and communication.
  • Ensure accurate, timely handling of legal documents, records, and mission-critical workflow.
  • Apply basic principles, concepts, and practices of the occupation to perform administrative tasks in support of the 55th Wing Office of the Staff Judge Advocate.
  • Demonstrate proficiency in Office Suite programs (Outlook, Excel, PowerPoint, Word, TEAMS, etc.) to support office operations and produce a variety of documents such as e-mails, letters, reports, and spreadsheets.
  • Maintain confidentiality regarding sensitive, strategic, and personal information with absolute discretion.
  • Communicate effectively, both orally and in writing, to provide information clearly.
  • Serve as the primary point of contact between leadership and external agencies.
  • Track deadlines, deliverables, and other matters requiring timely completion.
  • Manage calendars, scheduling, and meeting coordination.
  • Prepare, edit, and maintain e-mails, written correspondence, documents, reports, presentations, and briefing materials.
  • Answer phone, email, and in-person inquiries.
  • Attend meetings and conferences and follow-up/consult with leadership as requested.
  • Handle sensitive personnel documents in accordance with applicable laws and guidance.
  • Scan, upload, and maintain electronic records.
  • Maintain professional partnerships with installation and community agencies.
