About The Position

Resaro builds custom AI testing software that helps organisations validate the performance, robustness, and safety of mission-critical AI systems, spanning computer vision, generative AI, and autonomous systems. Our clients include government, military, and commercial organisations deploying AI in high-stakes environments. We work through embedded teams deployed on-site or closely integrated with our clients. We're looking for an Executive Assistant to support our two Co-CEOs, based in Munich and Singapore. You'll be the central point of coordination for the CEO office, keeping both leaders aligned across a 6 to 7 hour time difference and supporting the wider team in business development, external engagements, and company administration. The role combines classic executive support with a growing share of operational and project work, and gives you exposure to how an AI company is built and run.

Requirements

  • 1 to 2 years of experience as an Executive Assistant or in a comparable assistant, coordination, or project role, for example at a startup, a political institution, a foundation, or an international organisation.
  • Strong organisational skills, with the ability to keep track of and prioritize many parallel threads and follow them through to completion.
  • Clear and precise written and verbal communication in German and English, and the confidence to represent the CEOs towards senior external stakeholders.
  • An analytical mindset: you can structure open questions and turn research into clear, decision-ready material.
  • A hands-on mentality, e.g. from experience in a fast-paced working environment or organizational volunteer experience.
  • Comfort working asynchronously with colleagues in another time zone and communicating clearly over Slack, Jira, and email.
  • Discretion and sound judgement in handling confidential information.

Nice To Haves

  • Familiarity with German public administration, defence, or critical infrastructure (KRITIS) environments.
  • Experience with CRM systems such as HubSpot.
  • Experience using AI tools to make recurring work more efficient.
  • Experience organising events or coordinating speaking engagements.

Responsibilities

  • Manage the calendars, meeting requests, and priorities of both Co-CEOs across multiple time zones.
  • Plan and coordinate business travel, and prepare clear schedule and travel overviews.
  • Handle bilingual (German and English) correspondence with partners, government stakeholders, authorities, and vendors on behalf of the CEOs.
  • Coordinate the CEOs' speaking engagements and conference appearances, from speaker profiles and submissions to organiser calls and briefings.
  • Support outreach campaigns operationally: preparing target lists, procuring contact data, managing CRM uploads (HubSpot), and tracking pipeline and event activity.
  • Take on research-based special projects, such as market expansion analyses and competitive landscape reviews.
  • Support the organisation and promotion of our own events and partner formats, such as webinars, workshops, and meetups.
  • Prepare briefings, meeting notes, and summaries, including for internal formats such as our Europe team calls or meetings of the advisory board.
  • Coordinate administrative matters for our German entity together with Finance and external advisors, such as notary appointments and employee benefits.
  • Support the Munich office, including hardware procurement, onboarding logistics, and team events.
