We are seeking a highly skilled Executive Assistant to provide primary support to the CEO, with occasional support to the Managing Partner/CFO. The ideal candidate is a proactive and resourceful professional with exceptional communication skills, strong attention to detail, and a proven track record of successfully supporting senior executives in a fast-paced, professional environment. This position is critical to the CEO’s effectiveness and requires sound judgment, a high level of discretion, and the ability to manage confidential information with the utmost integrity. The successful candidate will demonstrate flexibility, reliability, and a commitment to operational excellence while navigating complex priorities. Serving as a trusted partner to senior leadership, the Executive Assistant will play a key role in enhancing executive productivity and overall organizational effectiveness. This individual will not only support the role but also help amplify the leadership capacity of the entire organization.

Requirements

  • 3+ years of experience supporting a CEO, founder, or senior executive, preferably in a fast-paced environment.
  • Exceptional organizational and time-management abilities.
  • Strong written and verbal communication skills.
  • Demonstrated ability to anticipate needs and solve problems independently.
  • High level of discretion, professionalism, and sound judgment.
  • Adaptability and comfort managing shifting priorities, including occasional on-call support.
  • Immense proficiency with technology and standard business tools (e.g., Outlook, calendar management, document preparation, etc.)
  • Strong sense of ownership and accountability.
  • Excellent attention to detail with the ability to maintain a strategic perspective.
  • Composure under pressure and a commitment to follow-through.
  • High degree of integrity, loyalty, and trustworthiness.

Nice To Haves

  • Associate’s degree or higher, preferred.

Responsibilities

  • Manage and optimize the CEO’s calendar, scheduling, and daily priorities.
  • Review, organize, and respond to emails on behalf of the CEO.
  • Screen calls and manage inbound communications with professionalism and discretion.
  • Prepare daily agendas aligned with key priorities.
  • Coordinate meetings, including logistics, materials, and follow-up actions.
  • Assist in meeting preparation, including the development of presentations and materials.
  • Translate executive ideas into actionable initiatives and coordinate with appropriate team members.
  • Attend key meetings and capture clear, actionable notes.
  • Translate discussions into defined next steps, ownership, and deadlines.
  • Conduct post-meeting debriefs with the CEO and drive follow-up communication.
  • Track open items and ensure accountability across teams.
  • Plan and coordinate all travel, including flights, accommodations, transportation, and itineraries.
  • Adjust travel arrangements in real time as needed.
  • Manage both business and personal travel logistics.
  • Handle personal matters with efficiency, discretion, and confidentiality.
  • Coordinate appointments, vendors, and household or lifestyle needs as required.
  • Serve as a trusted extension of the CEO in both professional and personal matters.
  • Plan and execute corporate events (e.g., holiday gatherings, leadership offsites).
  • Coordinate attendee travel and event logistics.
  • Manage vendors, budgets, and timelines.
  • Support special projects critical to executive priorities and organizational growth.
