About The Position

NetApp is looking for an Executive Assistant to deliver high-level administrative and operational support to senior leadership within our Cloud organization. This role coordinates executive schedules, communications, meetings, travel, events, and critical organizational priorities. The Executive Assistant acts as a trusted partner to leadership and helps guarantee the efficient functioning of a fast-paced, global organization.

Requirements

  • Excellent organizational, time-management, written, and verbal communication skills.
  • Experience managing complex calendars, global meetings, and competing priorities.
  • Proficiency in Microsoft 365 applications, including Outlook, Teams, Word, Excel, PowerPoint, and SharePoint.
  • Ability to handle confidential and sensitive information with discretion.
  • Strong attention to detail, judgment, follow-through, and problem-solving skills.
  • Ability to work independently while collaborating effectively across teams and organizational levels.
  • Strong interpersonal skills and the ability to build relationships with executives, employees, customers, and partners.
  • Professional, proactive, adaptable, and resourceful in a fast-paced environment.
  • Experience coordinating executive meetings, business reviews, events, and organizational communications.
  • Minimum of 3+ years of experience as an Executive Assistant, ideally supporting senior leaders in a fast-paced, global organization.

Nice To Haves

  • Familiarity with action tracking, business reporting, and process automation tools is preferred.
  • Experience supporting Cloud, technology, sales, engineering, or business operations organization is preferred.
  • Experience with project coordination, event management, or business operations is a plus.

Responsibilities

  • Manage complex executive calendars, including appointments, leadership meetings, customer engagements, and travel across multiple time zones.
  • Coordinate weekly staff meetings, QBRs, All Hands meetings, leadership offsites, and team events.
  • Prepare agendas, presentations, briefing materials, meeting notes, and executive communications.
  • Track leadership priorities, action items, owners, follow-ups, and deadlines.
  • Serve as a liaison between Cloud leadership and internal and external stakeholders, ensuring timely and effective communication.
  • Screen and prioritize incoming communications and draft or edit correspondence and organizational announcements.
  • Organize and maintain SharePoint sites, Teams workspaces, files, documents, templates, and team resources.
  • Coordinate domestic and international travel, including flights, accommodations, transportation, and itineraries.
  • Prepare expense reports, maintain accurate records, and assist with budget tracking.
  • Coordinate onboarding activities and access to resources for new Cloud team members.
  • Support leadership with research, reporting, special projects, and process-improvement initiatives.
  • Partner with HR, Finance, Communications, Sales, Engineering, and other cross-functional teams to support Cloud business priorities.
  • Plan and coordinate customer meetings, conferences, team-building activities, and other organizational events.
