About The Position

The Executive Assistant is responsible for providing direct support to the President of Humanscale and her specific divisions of Humanscale Living Global, Humanscale Global Retail, Latin America sales divisions and production, and Humanscale Point of Sale Global. The ideal candidate for this role must have experience with providing direct support to top-level executive management, possess the desire to work in a fast-paced environment, have an outstanding work ethic with a high level of accountability, all while maintaining confidentiality to highly sensitive information.

Requirements

  • Five (5)+ years of experience in an administrative position supporting a senior executive.
  • Excellent organizational and interpersonal skills; must be capable of building a rapport with higher-level managers.
  • Ability to prioritize and execute on managing multiple projects and follow through.
  • High level of professionalism and confidentiality.
  • Superior written and oral communication skills.
  • Creative problem solver, good judgment and analytical skills.
  • Excellent telephone and email etiquette.
  • Advanced Proficiency in MS Office Suite (Word, Excel, Outlook, and PowerPoint).

Nice To Haves

  • Bachelor’s degree and/or related experience preferred.

Responsibilities

  • Schedule and organize a variety of activities such as meetings, conferences, and appointments.
  • Manage and update internal and external contact lists.
  • Organize all domestic and international travel needs and prepare complex travel itineraries.
  • Proactively manage, write, and deal with a high volume of emails.
  • Answer phones for President, take messages, and answer all routine and non-routine questions.
  • Conduct web-based industry research as needed.
  • Establish relationships with customers and assist with purchases and issues.
  • Manage personal appointments, billings and schedules.
  • Monitor billings, invoices, and expense reports for President and their direct reports.
  • File and manage performance evaluations for President’s direct reports.
  • Schedule and arrange logistics for corporate events, such as holiday parties.
  • Establish, develop, maintain and update filing system for the President.
  • Must be in office 4 days per week and available via cell when international travel is on weekends for both personal and work-related items.
  • When President is traveling, there is flexibility to work from home.
  • Must have flexible schedule to provide personal assistance to President as needed.
  • Must be able to construct PowerPoint presentations for President, managing all key aspects of the presentation including, font, size, legibility, impact, etc.
  • Perform other duties as assigned.
