About The Position

This Executive Assistant role supports the General Manager and Director of Operations in a complex, fast-paced resort operation. It is a high-trust position that helps drive leadership coordination, communication flow, and process execution across departments. More than calendar and administrative support, this role keeps priorities organized, initiatives moving, and operational communication aligned. The position also leads process documentation and standardization efforts across the resort. The ideal candidate is proactive, detail-driven, adaptable, and comfortable working close to operations and leadership decision-making.

Requirements

  • Must be at least 21 years of age with a valid Michigan driver’s license.
  • Proven experience as an Executive Assistant or in a high-level administrative role, preferably in the hospitality or resort industry.
  • Strong knowledge of business operations and administrative processes is essential.
  • Exceptional organizational skills and attention to detail.
  • Demonstrated ability to develop and document process, procedure and policies.
  • Excellent written and verbal communication skills with the ability to tailor messaging across multiple levels of the organization.
  • Demonstrated ability to manage multiple priorities in a fast-paced environment.
  • High level of discretion, integrity, and professionalism.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and AI tools
  • Flexibility to adapt to shifting priorities and occasional off-hours responsibilities.
  • A proactive problem-solver who thrives in a team-oriented environment.

Responsibilities

  • Provide executive-level administrative support to the General Manager and Director of Operations, including scheduling, correspondence, report preparation, and meeting coordination.
  • Maintain awareness of departmental processes, policies, and procedures across all resort operations to effectively support leadership and sending and assisting with communication changes as needed.
  • Coordinate and track key initiatives, ensuring deadlines and deliverables are met.
  • Serve as lead on process taskforce, developing new processes, ensuring consistent documentation, retention and distribution of processes across the resort.
  • Serve as a liaison between department directors, managers, and executive leadership, fostering clear and consistent communication.
  • Assist in preparing presentations, agendas, and materials for leadership meetings.
  • Facilitate follow-up on action items from meetings and communications to ensure progress and accountability.
  • Handle sensitive information with the utmost confidentiality and discretion.
  • In the absence of the Director of Operations, step in to support operational continuity, leveraging a strong understanding of cross-functional responsibilities.
  • Support special projects and resort initiatives, including seasonal events, operational audits, and internal process improvements.
