Requirements

Nice To Haves

  • associate or bachelor's degree a plus
  • 2 or more years’ experience providing administrative support to a Senior Executive, preferred.
  • 1-3 years of healthcare experience a plus.
  • statistical software (willing to train)

Responsibilities

  • Manages complex calendars and coordinates executive-level meetings for the Senior Executive by prioritizing appointments; and providing them with relevant support material in a timely manner.
  • Coordination of Outlook calendars and meeting set up for Senior Executive and other members of the Quality, Infection Prevention and Safety team.
  • Provides administrative support to the Senior Executive, resolving issues not requiring their direct attention; acts as liaison between the Senior Executive and hospital departments.
  • Project and daily assistance for SVP and other members of the Quality, Infection Prevention and Safety Departments.
  • Prepares agenda, power point presentations and other information packets for Quality and Regulatory meetings, ensures they are distributed in a timely manner; records minutes of these meetings and distributes to appropriate individuals.
  • Assist with coordination of regulatory surveys.
  • Manage travel arrangements as needed.
  • Prepares purchase orders, requisitions, check requests and invoice reconciliation for accounts payable.
  • Coordinating Kronos timecard system for the department staff, including coordination and approval process by SVP for vacation and holiday schedules and other time off requests.
  • This position has overall responsibility for maintaining employee attendance records (including vacation time, sick days); and processing timecards for department employees.
  • Order and manage office supplies.
  • Manage Resource Center requests and room reservations and coordinate maintenance and facility requests for department.
  • Coordinate room availability for Quality Conference Room.
  • Customer Service: respect, flexibility, knowledge, confidence, professionalism, pleasant attitude, patience and helpfulness. All responses should be timely, professional, caring, and respectful in accordance with Customer Service Performance expectations
  • Maintains established departmental policies and procedures, objectives, quality assurance program, safety, environmental, and infection control standards.
  • Assesses gaps in policies and procedures and create necessary policies and procedures to fulfill these gaps.
  • Good record of timeliness and attendance.
  • Understands and adheres to the Medical Center’s Code of Conduct.
  • Familiar with the Medical Center’s Mission, Vision, and Values Statements
  • Performs other related duties as required.
