About The Position

The Executive Assistant (EA) provides high‑level administrative, operational, and strategic support to the Senior Vice Presidents for IT/OT and Strategy. This role requires exceptional organizational skills, sound judgment, discretion, and the ability to anticipate needs. The ideal candidate is a trusted partner and advisor who thrives in a fast‑paced environment, can manage multiple priorities simultaneously, able to work without guidance, and is comfortable representing the SVPs in day‑to‑day communications.

Requirements

  • Minimum 7 years of high level executive support
  • Proven demonstration of analytical and problem solving skills
  • Advanced knowledge of Microsoft Office products including Word, Excel, PowerPoint, Outlook, and SharePoint.
  • Demonstrated ability to exercise discretion and handle confidential information
  • Excellent communication skills, both verbal and written
  • Ability to quickly learn new technology programs
  • Able to work independently and as part of a team
  • Strong organizational, time management, and multitasking skills
  • Critical thinking and problem-solving skills
  • High level of attention to detail and follow‑through

Responsibilities

  • Act independently to organize and support meetings, conferences and events
  • Manage and optimize a complex executive calendar, including scheduling, rescheduling, and prioritizing meetings
  • Coordinate across multiple stakeholders and time zones to ensure deadlines and commitments are met
  • Attend meetings as required and prepare meeting minutes, notes and action logs
  • Provide high level administrative support including document assimilation, preparation, and quality assurance
  • Act as liaison between SVPs and internal and external contacts
  • Serve as a trusted partner and advisor to the SVPs, proactively managing priorities and anticipating needs
  • Act as point of contact for administration issues and escalating as appropriate
  • Liaise and provide support to other RWE Assistants, providing coverage for other Executive Assistants when needed
  • Plan and book all SVPs business travel including preparation of all necessary forms and documents
  • Prepare and submit travel and business expense reports accurately and on time
  • Check, and maintain SVPs email Inbox; forward, escalate and respond as necessary
  • Highly adaptable with the capacity to contribute beyond traditional administrative responsibilities, including coordinating special projects, process improvements, and strategic business initiatives
  • Support departmental budget administration and purchasing, including raising purchase orders, processing invoices, tracking spend, and coordinating with vendors
  • Handle sensitive and confidential information with discretion, maintaining appropriate confidentiality at all times
  • Coordinate team and office logistics, including onboarding support for new team members, workspace and equipment setup, and maintenance of filing and records systems
